- Contribute to the creation of medical devices that support patient care worldwide. In this role, you'll play an important part in keeping our office running smoothly by handling a variety of front-desk and administrative responsibilities, including:

Reception & Office Support • Answer incoming calls and direct messages to the appropriate personnel. • Greet visitors, guests, and job applicants in a professional manner. • Distribute and collect job applications and skills tests from applicants; notify managers when applicants arrive for interviews. • Maintain a neat, organized, and welcoming front office/lobby area. HR & Employee Support • Coordinate and participate in New Hire Orientation sessions. • Conduct New Hire Benefits meetings. • Add new employees to the time clock. • Review bi-weekly time clock reports; edit/add missing punches and time-off codes. • Review/approve temp labor timesheets and send time reports to temp agencies. • Maintain building key log; issue keys to new hires and resolve key-related issues. • Coordinate ordering of employee uniforms. • Order vouchers for prescription safety glasses. • Draft separation information forms for departing employees; may be asked to distribute forms and collect keys and equipment. • Order various gifts, gift cards, and other items when needed for distribution to employees. Meetings & Event Coordination • Schedule interviews and conference room meetings. • Coordinate Safety Committee meetings; prepare and distribute meeting minutes. • Assist with HR-sponsored employee meetings and events. • Arrange food and beverages for company meetings. • Assist with planning and setup for the annual holiday party. • Support planning and execution of other company events (e.g., Employee Appreciation Week, management meetings, luncheons, and offsite events). Records & Reporting • Maintain and update filing systems (electronic and paper). • Scan and enter documents into appropriate systems or distribute to designated personnel. • Resolve administrative problems by preparing reports, analyzing data, and identifying solutions. Administrative Support • Assist with travel arrangements for guests, staff, and management. • Create and schedule company-related social media posts across platforms. • Assist HR team members, CEO and company managers as needed.

To be successful in this position, you should bring the following skills and qualities:

High school diploma or GED; plus one or more years of receptionist/administrative assistant experience, or an equivalent combination of education, certification, training, and/or experience. Knowledge of clerical/office/reception procedures and systems (switchboard, scanning, filing, recordkeeping, etc.). Knowledge or willingness to learn ISO 13485 and FDA 21CFR820 standards (on-the-job training provided). Advanced proficiency with Microsoft Word, Excel, Outlook, Teams, and PowerPoint. Working knowledge of Canva or other graphic design software. Strong commitment to confidentiality regarding sensitive employee and company information. Ability to work independently, manage shifting priorities, and meet tight deadlines. Consistent use of discretion, sound judgment, and professionalism. Strong interpersonal skills and ability to build cooperative working relationships. Clear written and verbal communication skills in English. Bilingual English and Spanish a plus.
