Job Description
The Psychology Department in the University of Tennessee's College of Arts and Sciences seeks an Administrative Specialist to provide administrative assistance to the Undergraduate Programs under the direction of the Director of Undergraduate Studies. This position serves as a primary point of contact for prospective undergraduate students and the public for information, schedules, requirements, and data about the Psychology Department's undergraduate programs.
Responsibilities
Undergraduate Program Administrative Support Coordinate Undergraduate Program activities, including, assessment processes, and program-related data entry, reporting, and storage Coordinate with the Graduate Programs Coordinator each semester to determine program-specific graduate courses and assigning instructors for each program-specific section in Timetable Attend, take notes, and distribute minutes for Undergraduate Program meetings and committees Coordinate the make-up exam process, creating and maintaining the exam calendar, schedule graduate student proctors, reserve rooms and times for proctors, coordinate with instructors to receive and return exams, schedule and proctor exams for students who cannot attend makeup dates Order supplies for Undergraduate Program operations using a departmental procurement card Supervise two to three work-study students each semester Collect and maintain contracts for PSYC 489 Supervised Research Act as departmental resource for Banner activities related to the undergraduate program Enter timetable information Process course overrides, new majors and minors, and registration changes Serve as backup for graduate student enrollment data entry Provide data and information on undergraduate enrollment to departmental leadership Attend monthly faculty meetings and take minutes when the Graduate Program Coordinator is unavailable Event Coordinator
Publicize, book, plan, and support department events, including the annual Spring Celebration, Undergraduate Graduation, and New Major Welcome events Design and distribute invitations and promotional materials for department activities and announcements Coordinate with local businesses to purchase event supplies, awards, and donations Report all event costs and expenses to the Business Manager Support recruitment activities to provide program information to prospective students Customer Service
Answer questions for current and prospective students in-person or via email and phone Refer students to appropriate major advisors Serve as backup to the Graduate Programs Coordinator to coordinate maintenance and facilities services requests (e.g. leaks, air conditioning, etc.) Qualifications
Required Qualifications
High School Diploma AND
Three years of experience in an office setting Preferred Qualifications
Bachelor's Degree AND
One year of professional office experience Knowledge, Skills, Abilities:
Skilled user of Docs, Sheets, Drive, and other Google products, and PowerPoint, Excel, Word, Outlook, and other Microsoft Office products. Ability to learn new software and related technology. Excellent communication skills. Good time management skills. Ability to multi-task and work with a diverse population. Strong attention to detail skills. Work Location:
