Elementary Administrative Assistant

The Elementary Administrative Assistant provides office and clerical support to assist with the efficient operation of the school district. To accomplish these tasks, the Elementary Administrative Assistant works closely with the staff and administration of Derby Public Schools. Responsible to: Principal Salary: Building Clerical Hourly Rate Schedule, Level 5 Classification of Employment: Non-Exempt Date: July 2023 Qualifications: 1. High school diploma or equivalent. 2. College degree preferred. 3. Clerical experience preferred. 4. Demonstrated typing/keyboarding and filing skills. 5. Proficiency in using various computers and computer programs. 6. Desire to continue career improvement. 7. Strong written and interpersonal skills. Essential Functions: 1. Knowledge, Skill and Abilities a. Provide office and clerical support to assist with the efficient operation of the school district. b. Ensure that all activities conform to district guidelines. c. Communicate effectively with all members of the school district and community. d. React to change productively and handle other tasks as assigned. e. Appropriately operate all equipment as required. f. Support the value of an education. g. Support the philosophy and mission of Derby Public Schools. h. Comply with all district policies, rules and regulations. 2. Physical Requirements/Environmental Conditions: a. Requires the ability to sit and/or stand for prolonged periods. b. Occasionally requires the ability to manually move, lift, carry, pull, or push heavy objects or materials. c. Occasionally requires the ability to stoop, bend, and reach. d. Must be able to work in noisy and crowded environments. e. Requires regular attendance and/or physical presence at the job. General Responsibilities: 1. Screen visitors and telephone calls, directing them to the appropriate person/department. 2. Screen and route incoming mail, and distribute copy work. 3. Compose and copy correspondence, reports, bulletins, records and other materials. 4. Obtain, gather and organize pertinent data as needed. 5. Maintain an orderly filing system. 6. Schedule appointments, assist in planning meeting agendas, prepare meeting summaries and assemble material for meetings. 7. Maintain accurate attendance records, call parents to confirm absences, check in tardy students and distribute passes, check out students, and report attendance problems to the principal. 8. Maintain and submit a daily log of school hours completed. Submit to superintendents office monthly. 9. Report the honor roll each quarter, if applicable. 10. Assist the principal in securing substitute teachers and paras, and submit all reports as required. 11. Serve as back-up for office clerk, including breakfast and lunch recording, lunch count and lunch money deposits. 12. Administer first aid to ill/injured students in the absence of the school nurse according to school policy. 13. Assist in training new employees. 14. Organize and process building purchase orders. Verify quantities delivered, and distribute to staff. 15. Ensure against the presence of unauthorized people on campus, including knowledge of all non-custodial situations. 16. Assist parent/guardians in district online communication tools including, but not limited to e-Funds and Skywards Family Access. 17. Serve as acting registrar for building by processing records requests, collecting new student documentation, entering new student data into student information system, and sending records upon withdrawal or promotion. 18. Follow up with guardians/emergency contacts upon student withdrawal without records request, making reports to proper authorities if necessary. 19. Maintain accurate student records database for all students assigned to building, including off-campus and non-traditional students as necessary. This includes, but is not limited to, demographic, contact, payment, and attendance information. 20. Maintain current staff list in student information system. 21. Assist building administration with setup of schedules, classes, and sections in student information system as needed. 22. Record ELL minutes and information into student information system as needed. 23. Record all special funding-related data, such as At Risk or Title 1, into student information system as necessary. 24. Assist principal with building budget, including general, supplemental, activity and capital outlay accounts. 25. Assist with free/reduced applications and fee changes if necessary. 26. Process student and family fee payments. 27. Assist principal in reviewing and approving employee timecards, and advise principal of possible timecard infractions. 28.
