Executive Assistant
Exciting opportunity to be an Executive Assistant - Senior Executive Assistant to a founding member of a Law Firm specializing in entertainment law.
The Law Firm is well known and established in the area, and the successful candidate will serve as both a professional and administrative assistant.
Duties:
Calendar management - setting calls, meetings, lunches, drinks, dinners
Managing calls and maintaining an organized phone sheet, updating contacts as needed
Taking notes during calls to memorialize proposals, deal terms, offers, etc.
Sending agreements to clients for signature/countersignature and tracking their status and payments; coordinating start paperwork with business managers' offices
Filing and document organization – both paper and digital
Tracking and maintaining personal documents such as investments
Monitoring emails with prompt, professional responses
Managing mail
Interfacing with clients to address their needs, concerns, and questions
Coordinating travel arrangements
Drafting formal emails, memos, bios, and letters as needed
Performing research assignments as required
Qualifications:
Minimum of 5 years Executive Assistant experience supporting C-Level executives in an entertainment company or partner in an entertainment law firm
Bachelor’s Degree; Master’s Degree or JD is a plus
