Attorneys trust us to make things happen quickly, and patients rely on us for guidance through their treatment journey. We are looking for a highly responsive Intake & Scheduling Specialist to join our team and become the front-line contact for new referrals. Responsibilities: •
Monitor shared intake email inbox
and respond to attorney referrals
within minutes
during business hours. • Call patients immediately after receiving a referral, verify information, and guide them through the intake process. • Aggressively coordinate with medical providers to schedule first appointments (phone, email, and 3-way calls as needed). • Contact the patient and coordinate scheduling, including 3-way calls if the provider is unresponsive. • Keep accurate records of all calls, emails, and scheduling actions in our system. • Provide same-day updates to attorneys and internal case managers once patients are scheduled. • Escalate unresponsive patients or providers to supervisors quickly. Qualifications: • Proficiency with Microsoft Office products, especially Microsoft Excel • Familiarity with case management and CRM systems a bonus • Firm knowledge of spreadsheet and data management, as well as computer skills • Previous customer service or sales experience preferred • Tech-savvy: Gmail, Google Workspace (Docs, Sheets, Groups/Collaborative Inbox), CRM, or case management software. • Comfortable making calls, handling objections, and pushing for scheduling confirmations. • Excellent written and verbal communication skills (clear, professional, and empathetic). •

Attorneys expect speed — minutes, not hours. • Previous experience in
medical office coordination, case management, legal support, or patient intake
is strongly preferred. Compensation: $17 - $21 hourly
