JOB TITLE: One Percent Construction Administrative Coordinator

CLASSIFICATION: Non-Exempt

DEPARTMENT: One Percent Construction

SUPERVISOR: One Percent Construction Manager

SALARY: $39,749 to 47,698 Annually

GENERAL JOB DESCRIPTION

The One Percent Construction Administrative Coordinator provides professional-level administrative, clerical, and technical support to the One Percent Construction Division. This position supports day-to-day operations by overseeing office management, coordinating permitting processes, facilitating communication between departments and the public, and ensuring efficient execution of internal processes such as purchasing, record keeping, and inspection scheduling. The Administrative Coordinator will serve as a key liaison for internal and external stakeholders and contribute to a professional, responsive, and efficient work environment.

PRIMARY DUTIES AND RESPONSIBILITIES

Administrative Support & Communication Independently prepare and proofread complex and confidential documents, reports, correspondence, and agendas. Maintain departmental calendars, schedule meetings and inspections, and coordinate with internal departments and external agencies. Answer phones, respond to inquiries, and resolve public or staff issues in a courteous and timely manner. Support the management and maintenance of department web content and request tracking systems. Permits, Licensing & Inspection Coordination

Receive, process, and issue Right of Way, Grading, and Flood Plain permits; calculate and collect fees, verify valuations, and ensure proper documentation and approvals. Assist contractors, inspectors, and staff with scheduling, licensing, and plan review needs. Maintain accurate records for Certificates of Completion and permit tracking.

Office & Operations Management

Oversee purchasing activities, including requisitions, billing, bid requests, and vendor communications. Manage office supply inventory, equipment maintenance, and fixed asset tracking. Make travel arrangements and handle associated documentation and expense reporting.

Program & Event Support

Coordinate departmental meetings, conferences, public meetings, and events. Transcribe meeting minutes and distribute information as needed. Support program evaluation and implementation efforts in line with departmental goals.

Cross-Functional Support & Leadership

Serve as a liaison between departments, contractors, and the public. Provide back-up support to other divisions and assume departmental responsibilities in the absence of management. Stay abreast of current trends and technologies in administrative support and contribute ideas for improvement.

SECONDARY DUTIES AND RESPONSIBILITIES

Attend and participate in professional group meetings; stay abreast of new trends and innovations in the field of administrative support. Estimate time, materials, and equipment required for jobs assigned; requisition materials as required. Prepare forms, procedures, and reserve departmental facilities, equipment, and materials. Assume responsibility for the department, division, or function in the absence of management staff; provide back-up support to other divisions as needed Recommend and assist in the implementation of goals and objectives; implement approved policies and procedures; represent assigned division or department by performing management functions related to general business operations including advising management and planning. Coordinate various programs and activities, including special events, conferences, and public meetings; administer program operations; monitor and evaluate program activities. Coordinate and attend a variety of meetings including departmental, advisory board, committees of the department and related meetings with outside agencies; transcribe and prepare minutes for selected meetings; disseminate information to appropriate City staff. Perform other duties and responsibilities as required. KNOWLEDGE, SKILLS AND ABILITIES

Advanced understanding of office administration, permit processing, and records management. Familiarity with construction or municipal permitting practices and terminology. Proficient in Microsoft Office Suite and general office equipment. Strong written and verbal communication skills. Ability to multitask, prioritize, and work independently in a fast-paced environment. Knowledge of applicable Federal, State, and local regulations. Ability to interpret and explain City policies, procedures, and permitting requirements. Customer service orientation with professional demeanor and problem-solving abilities. Familiarity with OpenGov. permitting software or similar. Spanish language proficiency is a plus.

QUALIFICATIONS FOR THE JOB

Required:

High school diploma or GED with specialized training in office support functions, bookkeeping, and computers.

Preferred

:

Four (4) years of technical and complex clerical experience with an emphasis on positive public relations and customer service.

Maintain mental capacity which allows the capability of making sound decisions demonstrating intellectual capabilities.
