The Care Delivery Administration department plays a vital role in partnering with clinical leadership and care delivery teams to support initiatives that enhance clinical practice with Hawaii Permanente Medical Group (HPMG). We are seeking a highly organized and skilled Administrative Assistant, internally known as a Management Assistant, to join our team. In this critical role, you will provide comprehensive administrative and operational clerical support to leaders within the clinical and care delivery team.

This position is based onsite at Kaiser Permanente Moanalua Medical Center in Honolulu, Hawaii, and requires regular in-person presence.

JOB DUTIES

Perform complex calendar management for clinical and care delivery executives and directors Maintain leadership calendars and ensure they are fully prepared for meetings and engagements Coordinate logistics for multi-department meetings, committee presentations, and special events Provide high-level administrative and clerical support for department priorities and initiatives Coordinate travel arrangements and manage related expense tracking and reimbursements Serve as liaison between Clinical Operations and internal/external stakeholders to communicate and resolve issues as needed Organize committee meetings and prepare materials, including agendas, presentations, and related collateral Track and follow up on multi-department issues to ensure timely resolution Manage and prioritize incoming correspondence while maintaining confidentiality Mentor and support administrative staff as needed Research and draft new administrative policies and procedures for departmental improvement Performs all other duties as assigned POSITION REQUIREMENTS

High School Diploma is required; Bachelor's degree is preferred Minimum 4 years of administrative, clerical, or related experience Previous experience as an Administrative Assistant supporting a middle or senior level manager(s) in a professional setting is highly desired Experience in the healthcare industry is a plus Demonstrated knowledge and skills in oral communication, written communication, customer service, and interpersonal skills Ability to work in a fast-paced environment autonomously and with limited/minimal supervision while meeting short deadlines Exhibits a high degree of professionalism when interacting with physicians and other internal and external customers/clients

This position is available at multiple levels. The final job level and compensation rate are commensurate with qualifications. The pay scale for this position starts at $29.26 per hour.
