Position Highlights:

In office position: Potential for Telework

Full Time: 40 hours per week

Schedule: Monday – Friday

First Shift: 8:00 am – 4:30 pm

The Role:

In this role you would be entrusted to independently perform a full range of secretarial functions to support the CHRO’s Capital Region. To accomplish this, along with other duties as needed, we will have you:

Design, organize, and maintain office files and filing systems

Interact with visitors and provide information to callers both inside and outside the agency

Performing administrative tasks, including faxing, copying, scanning, sending and receiving mail

Maintain office filing systems (e.g. SharePoint and Manual case files)

Communicate with parties on case related inquiries

Compile information on case matters throughout various state agencies

PURPOSE OF JOB CLASS (NATURE OF WORK)

In a state agency this class is accountable for independently performing a full range of secretarial support functions requiring an understanding of organizational policies and procedures.

EXAMPLES OF DUTIES

In this role you would be entrusted to independently perform a full range of secretarial functions to support the CHRO’s Capital Region. To accomplish this, we will have you:

Design, organize, and maintain office files and filing systems

Interact with visitors and provide information to callers both inside and outside the agency

Arrange and coordinate meetings

Draft, prepare, format, and/or distribute correspondences

Performing administrative tasks, including faxing, copying, scanning, sending and receiving mail

Maintain office filing systems (e.g. SharePoint and Manual case files)

Communicate with parties on case related inquiries

Compile information on case matte rs throughout various state agencies

Prepare monthly and weekly statistical reports

Write minutes and/or take notes during meetings

Coordinate travel arrangements

Schedule meetings

Prepare expense reports (e.g., orders, requisitions, invoices)

Order office supplies and maintain inventory

Support the overall office operations

Performs related duties as required.

KNOWLEDGE, SKILL AND ABILITY

Considerable knowledge of

MINIMUM QUALIFICATIONS - GENERAL EXPERIENCE

Three (3) years of experience above the routine clerk level in office support or secretarial work.

MINIMUM QUALIFICATIONS - SPECIAL EXPERIENCE

One (1) year of the General Experience must have been as a Secretary 1 or its equivalent.

MINIMUM QUALIFICATIONS - SUBSTITUTIONS ALLOWED

College training in the secretarial sciences may be substituted for the General Experience on the basis of fifteen (15) semester hours equalling one-half (1/2) year of experience to a maximum of two (2) years.

PREFERRED QUALIFICATIONS

Experience providing secretarial support to Executives, Managers, and/or Units maintaining priorities and tasks in a deadline-driven environment

Experience interpreting legal definitions and processing legal work

Experience engaging with the public, identifying and resolving customer concerns

Experience communicating effectively both verbally and in writing, internally and externally

Experience drafting and proofreading correspondence for grammar, punctuation and spelling

Experience organizing, handling and maintaining files (including confidential files)

Experience with CORE or Peoplesoft

Experience with Microsoft Office Suite software (Word, Excel, Teams) to carry out administrative tasks

Experience working with databases and compiling data into spreadsheets and reports

Preferred Bilingual proficiency in Spanish
