Hospitalist Administrative Support Coordinator

FirstHealth of the Carolinas is seeking a detail-oriented and highly organized Hospitalist Administrative Support Coordinator to join our Hospitalist Services team. This role provides essential administrative support to the Hospitalist leadership and medical staff, ensuring smooth onboarding, credentialing, scheduling, and communication processes. The ideal candidate will thrive in a fast-paced healthcare environment and demonstrate strong multitasking, communication, and organizational skills. Responsibilities

Coordinate onboarding activities for new providers, including scheduling and documentation. Assist with provider credentialing and insurance notifications. Support Hospitalist leadership by organizing meetings, preparing agendas, taking minutes, and tracking follow-up tasks. Maintain personnel files and process payroll for inpatient programs and assigned providers. Develop and edit presentations and communications using MS Office tools. Manage confidential data with discretion and accuracy. Set up multimedia equipment for meetings and presentations. Ensure timely dissemination of information and updates to the Hospitalist team. Assist in planning and executing special events. Serve as a liaison between providers and internal departments (HR, Risk Management, Finance, etc.). Orient new providers on administrative processes and office equipment. Maintain organized electronic and physical filing systems. Qualifications

Education & Training: Associate degree in business preferred. Advanced proficiency in Microsoft Word, Excel, PowerPoint, Outlook. Familiarity with medical terminology, provider credentialing, and coding. Experience: Minimum of 3 years as an Administrative Assistant. At least 1 year in an administrative role at FirstHealth preferred. Experience working directly with healthcare providers and leadership. Software Proficiency: Required: MS Office Suite (Word, Excel, PowerPoint, Outlook, Teams) Preferred: Open Office, Bridge It Smartboard, Aperek, WebXChange, Physician Recruitment Manager Software Skills: Strong writing, editing, and communication skills. Excellent time management and organizational abilities. Ability to multitask and prioritize in a fast-paced, sometimes chaotic environment. High level of discretion with confidential information. Ability to work independently and anticipate needs. Knowledge of FirstHealth bylaws is a plus. Working Conditions & Physical Requirements Primarily office-based with occasional travel to other FirstHealth or community locations. Requires sitting, standing, walking, and occasional lifting. Must be able to operate office equipment and communicate clearly. Fast-paced and potentially stressful environment with multiple concurrent demands.
