Primary Job Responsibilities:

Provides administrative support to the President & CEO and other senior members of the company as assigned, as well as administration of board of directors meetings.

Manages the schedule and performs long-range calendar planning of the CEO and ensures that objectives are met and conflicts do not arise.

Creates board materials and coordinates physical location, schedules and other arrangements in advance of board meetings.

Works closely with the CAO/SVP to ensure that all logistical aspects of the board meetings run smoothly.

Provides administrative and technology support during board and committee meetings.

Facilitates scheduling, communication and the dissemination of information related to board and committee meetings to board members.

Produces accurate minutes of board and committee meetings, manages board documents (including legal and regulatory records) and ensures proper document retention.

Makes travel arrangements as needed for assigned management and is available to troubleshoot issues if they arise.

Submits and reconciles expense reporting for CEO and other senior staff as assigned, including travel expenses, and reconciliation of corporate credit card accounts.

Performs other related assigned duties as necessary to complete the primary job responsibilities as described above.

Minimum Requirements:

Associate's degree in business administration or a related field and four years' administrative support experience preferred. Experience in a regulated industry a plus. Will accept any suitable combination of education, training, or experience

Proficiency using personal computers, office software applications (Microsoft Office), and experience with board management software

Experience working with audio/visual equipment including troubleshooting minor issues

Ability to identify and resolve issues related to board operations

Ability to manage multiple tasks, prioritize effectively and meet deadlines

Effective verbal and written communication and interpersonal skills

High attention to details and accuracy

Ability to identify and resolve issues related to both day to day and board operations

Ability to handle sensitive information with discretion and maintain confidentiality

Ability to travel on a limited basis as necessary to execute job responsibilities

Physical Requirements:

Prolonged periods sitting or standing at a desk and working on a computer

Must be able to lift up to 15 pounds
