The Executive Assistant to the CEO manages and oversees the day-to-day constituency services and administrative support activities of the CEO, acts as a key liaison to the Board of Directors, and coordinates logistics for Board activities, and other key staff as assigned. The position requires a high degree of initiative and flexibility, extensive experience in an executive office, and ability to multitask routinely with absolute tact, discretion, and confidentiality. ESSENTIAL DUTIES AND RESPONSIBILITIES Coordinate and manage calendars for the CEO including all travel arrangements, meeting logistics, materials preparation, expense tracking and processing, routine scheduling, and follow-up. Perform and track all administrative processes for the CEO (approvals processes, authorization requests, travel forms, check requests, etc.) Coordinate special meetings and events (including logistics, catering, decoration, invitations, etc.) throughout the year as called upon in support of executive activities. Prepare agendas and briefing materials for Board meetings and other meetings as required. Maintain official records of Board actions and files. Staff Board committees as assigned. Prepare background reports, research, analyze information, and manage special projects as required. Track ongoing projects delegated through the CEO for calendaring and schedule maintenance. Assist all departments within the Executive Office on a regular basis, initiating, facilitating, and completing cross-department efforts and projects when appropriate. Draft correspondence, agendas, memos, and other materials from the Office of the President. Produce and maintain official documents including letters, minutes, proposals, legal documents, contracts, etc., with attention to detail. Review proposal application requirements and plan development administratively. Prepare proposals and development packets, ensuring quality, completeness, and timeliness. Assist in receiving and briefing guests at the offices and meetings. Screen correspondence, telephone, email, and other communication to organize the CEOs time and enhance office efficiency. Answer routine communications as directed. Attend meetings on behalf of the CEO as required for information gathering and reporting. Track budgets for the office of the CEO. Identify issues and report as needed. Process financial transactions for the CEO (check requests, travel, contracts) and understand their recording. Act as a technical, procedural, and protocol resource for all staff. Perform complex, non-routine tasks, exercising judgment, confidentiality, and discretion within established policies and procedures. Perform all other duties as assigned.

Skills and Abilities Required Outstanding written and verbal communication skills. Experience dealing with diverse cultures, geographies, and time zones is highly desired. Bilingual in English and Korean - Preferred Meticulous attention to detail. Ability to perform technical, specialized, complex, and difficult office administrative work requiring independent judgment, including:

Analyzing and resolving office administrative and procedural problems. Developing procedures and documentation. Knowledge of business functions (e.g., resolutions, banking, controls). Performing internet and secondary research, preparing reports and recommendations. Organizing work, coordinating projects, setting priorities, meeting deadlines, and following up with minimal supervision. Taking initiative and demonstrating independent judgment within policy guidelines.

Computer Equipment and Software Requirements

Proven expertise in Word, Excel, PowerPoint, and Outlook. Ability to craft and edit presentations and proposals. Education and Experience Required

Bachelors degree or equivalent experience. Training specific to business protocols (education, on-the-job, self-study, certifications). Credibility in handling sensitive and confidential situations. At least five years experience as an Executive Assistant. Strong organizational skills and ability to manage a fast-paced office.
