Description
The Bilingual Admirative Assistant is responsible for providing clerical support services for administrative and program functions, such as answering the telephone, customer service, data base/reporting, unit tracking, billing, photocopying, documentation, filing, scheduling, etc., for Human Services Department.
Position Type:
Full-Time/Regular
Essential/Primary Duties: Perform clerical functions such as:
Answering the telephone, customer service, data base entry/reporting, unit tracking, photocopying, documentation, filing, scheduling, etc.
Provide administrative support to the programs:
Calling clients to schedule future appointments/informing of upcoming appointments Preparing files and documents in advance Managing clinician schedules and ensuring all clients are seen
Problem solving complex situations, including de-escalation of emotional clients at times Assure accuracy of data management Interact in a professional manner with clients, co-workers, personnel from public and private agencies and other members of the public Relieve management of administrative detail Follow all confidentiality/HIPAA guidelines Other duties as assigned by the Front Desk Supervisor and/or the Director of Human Services
Qualifications
Minimum of High School Diploma or G.E.D. Previous experience in a clerical position preferred. Experience with word processing, spreadsheet and data base applications. Basic writing and math ability, organizational skills and ability to handle an array of complex office functions. Ability to have quick problem-solving skills. Bilingual (Spanish-English) required.
Working Conditions:
Departmental business hours with the possibility of evenings.
