Allegheny East Conference is seeking a highly organized and professional Executive
Administrative Assistant to support the Office of the President and Ministerial Department by
performing a variety of high-level administrative and operational tasks. This individual will play a
critical role in managing communication, scheduling, and coordination for executive leadership
Key Responsibilities
Executive Support
Manage complex calendars, appointments, and meeting schedules for the President and Ministerial Director. Coordinate domestic and international travel arrangements, including itinerary creation and conference registrations. Screen calls, emails, and other communications; prioritize and respond on behalf of the President/Ministerial Director. Perform other duties as assigned Communication & Documentation
Prepare, draft, and edit correspondence, reports, presentations, and other documents with accuracy and professionalism. Attend meetings, take minutes, and follow up on action items. Create and manage daily communications and ensure timely, accurate messaging across internal and external stakeholders. Data Management & Reporting
Maintain ministerial activity reports and compile annual tithe reports from employees for executive review. Conduct research and analyze data to support executive decision-making. Maintain digital and physical filing systems in accordance with organizational policy. Project Coordination & Events
Coordinate logistics for internal and external meetings, events, and cross-functional projects. Serve as liaison with internal staff, board members, constituents, and external partners. Qualifications
Must acknowledge and accept the principles, beliefs and practices of the Seventh-day Adventist Church and be a member of the Seventh-day Adventist Church in regular standing. Minimum five (5) years of administrative support experience, preferably supporting executive-level leadership. Additional experience may substitute for education. Proven ability to manage multiple priorities, exercise discretion, and maintain strict confidentiality. Strong organizational, problem-solving, and multitasking skills. Exceptional verbal and written communication skills. Demonstrated professionalism, initiative, and attention to detail. Education
Associate degree required in Office Management, Business Administration, Communication, Applied Science or an Administrative Assistant Associate's degree Bachelor's degree preferred. Additional experience may substitute for education.
Technical Proficiency
High proficiency in Microsoft Office Suite or related software. Comfortable using virtual collaboration platforms (Zoom, Teams). Ability to adapt to and learn new technologies quickly.
Additional Information This position requires someone who is proactive, detail-oriented, and capable of operating with minimal supervision. The successful candidate will demonstrate sound judgment, grace under pressure, and a heart for service in a mission-driven environment.
