Job Title: Secretary / Administrator
Location: Beggs, Oklahoma
Job Type: Full-time, On-site
Pay: $20+ Depending on experience
Position Summary:
We are seeking a highly organized, proactive, and detail-oriented Secretary / Administrator to provide comprehensive administrative and secretarial support to our Production Team, Project Managers, Key Personnel & General Office. The successful candidate will be an integral part of our team, ensuring the smooth and efficient operation of daily activities in a fast-paced aerospace environment. This role requires exceptional communication skills, discretion, and the ability to manage multiple priorities with professionalism and accuracy.
Key Responsibilities: Administrative Support:
o Manage and maintain calendars, schedule appointments, and coordinate meetings (internal and external) for executives and department heads.
o Prepare and edit correspondence, reports, presentations, and other documents, ensuring accuracy and adherence to company standards.
o Organize and maintain physical and electronic filing systems, ensuring confidentiality and easy retrieval of information.
o Handle incoming and outgoing communications, including phone calls, emails, and mail, directing inquiries to the appropriate personnel.
o Order and manage office supplies, ensuring adequate stock levels and efficient inventory control.
o Assist with the preparation and submission of expense reports.
o Coordinate travel arrangements, including flights, accommodation, and ground transportation
•Meeting Coordination:
o Arrange meeting logistics, including room setup, catering, and audio-visual equipment.
o Prepare meeting agendas, take accurate minutes, and distribute them in a timely manner.
o Track action items from meetings and follow up to ensure timely completion.
o Data Management & Record Keeping:
o Input and maintain data in various company systems (e.g., Quantum, HR systems) with a high degree of accuracy.
o Assist with the compilation and organization of project documentation, technical reports, and compliance records, adhering to aerospace industry standards.
•General Office Support:
o Serve as a primary point of contact for visitors, clients, and vendors, providing professional and welcoming experience.
o Assist with onboarding new employees, including workstation setup and initial administrative tasks.
o Support special projects and initiatives as assigned.
o Maintain a clean and organized office environment.
•Qualifications:
o Education: High school diploma or equivalent required; associate or bachelor's degree in business administration, Office Management, or a related field preferred.
•Experience:
o Minimum of 3-5 years of proven experience as a Secretary, Administrative Assistant, or similar role, preferably within a fast-paced aerospace or other technically oriented environment.
o Prior experience in aerospace, manufacturing, engineering, or a highly regulated industry is highly desirable.
•Skills:
o Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) is essential.
o Excellent written and verbal communication skills, with a strong command of English grammar and spelling.
o Exceptional organizational and time management skills, with the ability to prioritize and multitask effectively.
o Strong attention to detail and accuracy in all work.
o Discretion and ability to handle confidential information with integrity.
o Proactive and resourceful problem-solver.
o Ability to work independently with minimal supervision, as well as collaboratively in a team environment.
o Professional demeanor and strong interpersonal skills.
