Executive Assistant (EA) Job Overview
QinetiQ US is seeking an Executive Assistant to support senior DoD leadership within the Office of the Secretary of Defense at the Deputy Assistant Secretary of Defense (DASD) level. The role involves direct support to high-ranking Federal Government executives and interaction with DoD Flag / General Officers and their staff. The position requires exercising independent judgment and discretion, including managing the principal's schedule and commitments based on established guidelines and protocol. Responsibilities
Develop and refine standard operating procedures, processes, and templates based on expertise and assessments, supporting daily operations and strategic engagement plans. Serve as the primary liaison with senior DoD leadership, interpreting policies, directives, and providing recommendations. Create tools such as Excel spreadsheets and databases to track and report on various documents and projects. Ensure compliance with guidelines and provide timely feedback and updates. Manage special projects independently or as assigned. Coordinate with military assistants, Chiefs of Staff, and other officials to guide daily operations and contribute to strategic planning. Maintain effective communication with DoD agencies, industry, and academic institutions to ensure smooth operations. Manage complex calendars and schedules for DASD(P) senior personnel, resolving conflicts and coordinating meetings with various stakeholders. Plan and coordinate logistics for meetings, including travel arrangements, security, and support services. Prepare daily briefing materials and maintain office files and documents. Handle administrative functions such as office security, space management, and visitor processing, with knowledge of DoD security procedures. Minimum Qualifications
At least three years of relevant experience Experience with Defense Travel System (DTS) orders Experience in DoD correspondence and task management systems Active TS/SCI clearance Preferred Qualifications
Bachelor's degree; military or industry executive assistant experience may substitute educational requirements Experience supporting high-level Federal or DoD executives is highly desirable Additional Information
