TekPro Support Services, LLC (TSS) is seeking to add an Executive Assistant to our team in Springfield, VA. The Executive Assistant provides high-level secretarial and administrative support to Senior Executives within the Federal Protective Services (FPS) at the Department of Homeland Security (DHS).
This role is 100% onsite and contract ends 10/2025. Each Executive Assistant shall be responsible for providing Executive Administrative support services as defined within the statement of work (SOW); and providing guidance and program support within a variety of administrative, analytical, and financial related functions. FPS ExecutiveAssistants are expected to provide recommendations for improvements in administrativeprocesses, data compilations, and administrative financial tasks. What You'll Do: Composing routine correspondence, compiling statistical and budget information, and communicating with all levels of agency personnel to gather and convey information. Completes a broad variety of administrative tasks for the assigned Executive(s)including: managing an active calendar of appointments; completing travel documentsand expense reports; composing and preparing correspondence that is sometimesconfidential; arranging complex and detailed travel plans, itineraries, and agendas; andcompiling documents for travel-related meetings. Plans, coordinates and ensures the Executive(s)s schedule is followed and respected. Provides "gatekeeper" and "gateway" role, creating win-win situations for direct accessto the Executive(s)'s time and office. Communicates directly, and on behalf of the assigned Executive(s), with otherExecutives, staff, and others, on matters related to the Executive's programmaticinitiatives. Researches, prioritizes, and follows up on incoming issues and concerns addressed tothe Executive, including those of a sensitive or confidential nature and determineappropriate course of action, referral, or response. Provides a bridge for smooth communication between the Executive's office andinternal divisions; demonstrating leadership to maintain credibility, trust and supportwith senior management staff. Works closely and effectively with the Executive to keep him/her well informed ofupcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment ankeeping the Executive updated. Provides leadership to build relationships crucial to the success of the organization, andmanages a variety of special projects for the Executive, some of which may haveorganizational impact Successfully completes critical aspects of deliverables with a hands-on approach,including drafting acknowledgement letters, personal correspondence, and other tasksthat facilitate the Executive's ability to effectively lead their organization. Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows through on projects to successful completion, often with deadline pressures. Prepare, edit and assemble reports required for meetings and presentations. Work effectively with personnel from other branches and divisions within FPSaccomplish tasks. Track documents through various approval processes within the agency as eachrelates to its respective policies, priorities, practices and procedures. Order, distribute, and maintain office supplies and equipment. Coordinate with IT staff to provide support services for printers, copiers, scannersand fax machines as required. Complete other ad hoc assignments, as determined. What You Bring: Minimum of five (5) years of direct Executive Administrative support experience required; with seven(7) years desired. Ability to multi-task / manage multiple projects simultaneously. At least one (1) year of experience must be directly supporting a Senior Executive in the Federal Government or a C-Suite private sector Executive responsible for at least 50 personnel in multiple offices. Resume should highlight strong skills in MS Suite skills and highlightimpacts/results of their actions as an Executive Assistant for the Executive they supported. Ability to write at a professional business level is required. Education Requirements:
