Medical Support Assistant

This is the entry level of the position in which the incumbent receives guidance from more experienced staff members and requires frequent and direct supervision. This position is located at the Sheridan VA Medical Center in the Care in the Community Office. The incumbent serves as a Medical Support Assistant and will interface with PC applications as well as numerous Vista applications including Telephone Call duties as part of addressing customer needs. Responsibilities This Medical Support position varies depending on candidates qualification level. General duties include: Interfaces with and assists the clinical providers in coordinating certain administrative details (i.e., authorizations), appointment scheduling, and clinic consult services. Deals effectively, professionally and positively with other administrative and professional personnel. Communicates with Leads and Supervisor for guidance regarding lists of patients who needs scheduling for care in the community. Functions as a member of the consult tracking team. Communicates with patients in a manner which is appropriate to cognitive, emotional, and chronological maturations needs of the adult and/or geriatric patient. Customer focused and interactions are conducted in a professional, courteous manner. In the performance of official duties, the employee has regular access to printed and electronic files containing sensitive data, which must be protected under the provisions of the Privacy Act of 1974, other applicable laws, federal regulations, VA statutes and policies. Responsible for protecting data from unauthorized release. Documentation for release of medical information necessary for community care appointments. Employee plans and organizes work with general assistance from the supervisor or Lead as to meet local and VA-wide time frames to complete analysis requirements, reports and special assignments and only refers the non-routine and high technical problems to his/her supervisor. Routinely communicates with physicians, case managers, and other allied health professional staff using sound interpersonal skills and is constantly aware of the sensitive information. Telework: Not available Functional Statement #: 60983-A Financial Disclosure Report: Not required Requirements Conditions of Employment Qualifications Basic Requirements: United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy. English Language Proficiency. MSAs must be proficient in spoken and written English in accordance with VA Handbook 5005, Part II, Chapter 3, Section A, paragraph 3.j. Medical Support Assistant, GS-3 Experience. Six months experience of clerical, office, customer service, or other administrative work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; OR Education. One year above high school TRANSCRIPTS REQUIRED; OR Experience/Education Combination. Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable. TRANSCRIPTS REQUIRED Demonstrated Knowledge, Skills, and Abilities. Candidates must demonstrated all of the KSA's below: Ability to meet, communicate, and interact with individuals in a courteous and helpful manner in order to give instructions and arrange appointments. Ability to utilize computer systems to enter administrative data in patient systems. Ability to learn and utilize basic medical terminology to record patient messages and physician requests pertaining to follow-up medical care. Grade Determinations - In addition to the basic requirements for employment listed above, the following education and/or experience criteria must be met when determining the grade of candidates: Medical Support Assistant, GS-4 Experience. One year of experience in clerical, office, customer service, or other administrative work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position. This experience may include but is not limited to; receive guidance from more experienced staff members and require frequent and direct supervision. Medical Support Assistant, GS-5: Experience. One year of experience equivalent to the GS-4 grade level. This experience may include but is not limited to; receive minor and less frequent guidance from higher experienced staff members for more difficult tasks. The full performance level of this vacancy is GS-5. The actual grade at which an applicant may be selected for this vacancy is in the range of GS-3 to GS-5. Physical Requirements: The majority of work is performed in an office setting, primarily while seated. The position requires some standing, ambulation, bending, and carrying of items such as training manuals. The Advanced MSA is required to sit for long periods of time at a computer terminal typing data while having face to face contact with Veterans and answering the telephone. Additional Information Receiving Service Credit or Earning Annual (Vacation) Leave: Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee. This credited service can be used in determining the rate at which they earn annual leave. Such credit must be requested and approved prior to the appointment date and is not guaranteed.
