Responsibilities:
Collect data and prepare monthly reports.
Must have good working knowledge of mail, shipping and receiving, inbound tracking systems.
Overnight courier knowledge.
Schedule messenger requests and reconcile end of month messenger invoices.
Maintain TMG message board with proper labor posters and current openings.
Provide new employee orientation.
Ensure priority handling of all incoming accountable deliveries including messenger packages.
Proper follow through to completion both verbally and in writing with client of any issues involving lost or delayed packages or any other service issues.
Attend weekly operations meetings.
Monitor that staff is completing their Time in and Out's while onsite.
Prepare and present Quarterly Business Review to client.
Maintain records and files.
Create mail schedule to ensure site is always covered during staff shortages and cross train staff.
Train, monitor and discipline employees.
Manage 2 locations.
Approve/deny time off requests from staff.
Prepare employee appraisals and evaluate employee performance.
Interview candidates for open positions.
Must be able to perform the work of those whom they oversee.
Ability to demonstrate a high level of problem-solving skills and lead a team of associates.
Ability to defuse potential conflict with difficult or irate customers.
Maintain, review and update site Operations Manual.
Maintain centralized employee database for mail processing, production reporting and tracking of deliveries and pick-ups.
Prepare monthly postage pac to add funds into mail machine.
Interact with various vendors on client's behalf and maintain vendor relationships.
Coordinate monthly pick up of shredding bins and review invoice for accuracy.
Ensure equipment is in good working order and make recommendations for replacement as needed.
Interface with the client contact daily and schedule one-on-one weekly meetings with client.
Inform Operations Manager of operational efficiencies and potential problems.
Resolve staff interpersonal conflicts.
Other duties as assigned.
Qualifications:
Must have 3 - 5 years of Management experience in mail and office services.
Excellent administration and computer skills.
Knowledge of US Postal, UPS shipping and other shipping software as needed.
Able to set priorities and motivate others.
Ability to lift up to 50 pounds.
Must be flexible to adapt to changes and multi-task.
Able to nurture and foster teamwork from subordinates and clients.
