    Summary/Objective

    The Human Resources Information System Supervisor will support and maintain specialized and internal HR systems, services and applications. This position oversees the HRIS team and maintains optimal function of the agencys internal HR Information systems, which may include database management, installation, customization, development, maintenance and upgrades to applications, systems and modules

    Responsibilities

    Essential Job Functions

    • Supervising the day-to-day activities of our HR information systems and team.
    • Supporting management on structural policy matters related to the HRIS.
    • Maintaining data integrity in systems by regularly analyzing data.
    • Working alongside the IT department to perform regular assessments and improvements to the HRIS.
    • Designing user-friendly processes, guidelines, and documentation.
    • Overseeing all system upgrades and system additions in partnership with the Information Technology (IT) department.
    • In partnership with the Information Technology (IT) team, ensuring all HR-related systems are compliant with data protection laws.

    Duties and Responsibilities

    • Oversees and maintains optimal function of the organizations internal HR information systems, which may include database management, network support, installation, customization, development, maintenance, and upgrades to applications, systems, and modules.
    • Installs, implements, modifies, and upgrades software and applications to meet changing business and technology.
    • Provides technical support, troubleshooting, and guidance to HR employees.
    • Collaborates with executive leadership and HR staff to identify needed improvements and enhancements to existing information services and databases; recommends and implements solutions.
    • Manages permissions, access, personalization, and similar system operations and settings for HR services users.
    • Programs custom functions and documentation such as automated queries, filters, macros, and reports.
    • Compiles or assists with acquisition of complex data reports, summaries, and logs requested by senior executives and HR staff.
    • Serves as lead representative and liaison between HR, Information Services, external vendors, and other stakeholders for HR database design and implementation projects.
    • Ensures system compliance with data security and privacy requirements.
    • Maintains knowledge of trends and developments in data management and security, HR technology, and HRIS applications.
    • Oversees the procurement of appropriate hardware and software to ensure that the organization has high quality, efficient systems.
    • Facilitates migration to a unified HRIS if required.
    • Performs other duties as required.
    Qualifications

    Education, Work Experience, and Competencies

    • Bachelor's degree in Information Technology or Human Resources Management required.
    • A minimum of 3 years experience in an HRIS position.
    • Minimum of 1 year of Supervisory experience
    • Strong knowledge of labor laws and regulations.
    • Practical experience with HR database administration
    • Strong verbal and written communication skills.
    • Excellent interpersonal and technical support skills
    • Excellent organizational skills and attention to detail
    • Excellent analytical and problem-solving skills
    • Familiarity with human resources policies to ensure the HRIS meets organizational needs and goals
    • Understanding of database construction
    • Thorough understanding of all areas of information systems with a highly technical understanding of at least one commercial HRIS product.

    Work Environment/Physical Demands

    This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, copiers and filing cabinets.

    The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to communicate orally and in writing. Filing is required. This would require the ability to lift files, open filing cabinets and bend or stand on a stool as necessary.

    Employee must be able to travel to other agency locations as needed.
