Recruiting Coordinator - Investment Management - Boston, MA
We are seeking candidates for a Recruiting Coordinator position with a top-tier investment management firm located in Boston, MA. The position will support the hiring and event planning processes within the investment team and is responsible for ensuring smooth logistics for recruiting efforts and internal/external meetings and including communication, scheduling, travel, and event planning. The ideal candidate will have 3+ years of administrative, HR, or recruitment experience, preferably within professional services industries.
This is a 4-month contract that will pay $30-45/hr (depending on experience) within a 40-hour work week. This position is required to be onsite 4 days per week in their Boston office.
Responsibilities:
Candidate Coordination
- Manage candidate outreach and correspondence.
- Schedule global interviews (both in-person and virtual).
- Arrange domestic and international travel for candidates.
- Handle guest travel authorization and reimbursement processes.
- Collect and track candidate feedback throughout the interview process.
- Maintain tracking reports and update candidate status information.
- Act as point of contact with vendors and external partners.
- Coordinate event logistics such as catering, venue reservations, invitations, attendee lists, marketing materials, and payment processing.
- Promote events to candidate pools via external communication channels.
- Initiate background checks and assist with onboarding tasks.
- Facilitate welcome processes and workspace setup for new employees.
- Assist in diversity recruiting initiatives in partnership with the investment team.
- Participate in department-specific projects requiring understanding of team operations.
- Maintain and update various spreadsheets, databases, and internal logs.
- Take on additional tasks as needed to support team goals.
- Bachelors degree or equivalent combination of education and experience.
- 3+ years of experience in administrative support, recruitment coordination, or staffing/HR roles.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong time management and organizational skills with the ability to prioritize tasks in a fast-paced, high-volume environment.
- Excellent attention to detail and follow-through.
- Exceptional communication and interpersonal skills; ability to interact professionally with all levels of internal and external stakeholders.
- Proven ability to manage event logistics from planning through execution.
- Self-starter with a service-oriented mindset, capable of working both independently and collaboratively.
