The Human Resources Coordinator acts as assistant to Senior HR Manager in day to day management of recruitment and retention, performance management, compensation and benefits, employee relations, legal compliance and records management activities. Performs own administrative work and supports Senior HR Manager and Chief Administrative Officer as needed. Responsibilities
Administrative
Conducting New Employee Orientations Process new hire paperwork for all new hires Order \"temps\" for divisions and track expenditures Maintain up-to-date employee data on the HRIS system - e.g. demographics, benefits, training et al. Update telephone listings Update the HR/Office Services Sharepoint site on an as-needed basis *** oversight of the new departmental project tracking system*** Keep the ASAE organizational chart current Order business cards, gold name badges, name plates for staff Code and process incoming departmental invoices Oversee distribution of temporary security cards Maintain all personnel files and department correspondence files Generate various reports such as monthly birthday and anniversary announcements, and any other reports as requested Complete routine responses to governmental agencies on employee statistics, employment verifications, unemployment compensation, etc. Serves on various organization committees/teams (Activities, Advocacy, et al.) Attend weekly department meetings. Answer incoming department calls and respond to requests. Screen, sort and distribute incoming mail for the Human Resources Department and Chief Administrative Officer (CAO) Prepare materials for mailings and/or distribution as requested. Other administrative duties as needed by Senior HR Manager or Chief Administrative Officer.
Benefits
Support all benefits related activities, including but not limited to: Investigate & respond to staff inquiries regarding benefit issues. Serve as primary resource and liaison between ASAE staff and benefit vendors (CBIZ, Principal, HFS, Mass Mutual, et al.) to ensure up-to-date employee information, and to resolve problems. For each newly-hired employee, distribute their completed benefit enrollment forms to the appropriate vendors. Input their benefit information into the HRIS system weekly. Work with Payroll to reconcile monthly benefit Invoices Work with payroll on Metrochek program Initiate & set up wellness programs e.g.: flu shots, blood pressure checks, CPR/AED certification. Other benefit related duties as requested by the Sr. HR Manager or Chief Administrative Officer.
Recruitment
Supports all regular employment activities, including but not limited to: Provide guidance to hiring managers regarding any resume screening issues Scheduling of interviews Mailing recruitment-related correspondence in accordance with set HR procedures Assist with reference checking Assist with skills testing Assist with advertisement of open positions
Legal
Support the CAO (who is also in-house legal counsel) with any legal matters as needed, up to and including preparing correspondence, ensuring distribution of legal documents (via mail or via courier), preparing, updating, and maintaining the business files, or any other duty as directed by the CAO.
Essential Skills
Must have some computer skills. Knowledge of meeting management and logistics. Good verbal and written communication skills. Supervisory Responsibility
This position has no supervisory responsibilities. Work Environment
Internally – Contact with entire staff. Externally - Vendors/Suppliers making deliveries and clients (both prospective and actual). Physical Demands
Able to work off and long hours (as needed). Possess enough perseverance to fulfill the needs of demanding customers. Dependable, punctual and cooperative. A team player. A well-groomed professional. Position Type and Expected Hours of Work
