Senior Accounting Assistant, Accounts Receivable

American College of Surgeons is seeking a Senior Accounting Assistant, Accounts Receivable. This non-exempt position reports to the Manager, Accounts Receivable in the Division of Administration, Finance and Facilities. The position is based in Chicago with a hybrid work arrangement: 3 days in the office and 2 days remote each week, with initial training requiring in-office work five days per week. Salary : The anticipated salary range for this position is $58,000 - $63,000 (commensurate with related experience). Summary : The Senior Accounting Assistant, Accounts Receivable (AR) will perform a full range of AR tasks, including but not limited to manual cash receipts application (with a focus on Lockbox processes), customer invoicing across AR systems, processing cash receipts associated with deferred revenue and future revenue recognition, and related GL reconciliations and adjustments. You will also assist with invoicing, statements, AR vendor forms and AR vendor website registrations, and provide timely resolution to high-volume AR requests. Responsibilities Identify proper GL coding, distribute as needed, and process cash, checks, lockbox receipts and credit card transactions. Enter/post cash receipts to customer accounts or verified GL codes, and verify coding accuracy before posting. Prepare cash receipt batch reports with support documentation. Review related system and exception reports to complete adjustments to cash receipts, AR accounts and revenue. Complete AR adjustments for invoice/order cancellations; process discounts or pricing adjustments; handle customer account transfers, NSF checks, stop payments, and chargebacks. Process refunds and related AR documentation for supervisor approval and AP processing. Generate invoices for ACS, its subsidiaries and partners using Aptify or Microsoft Business Central, coordinating with program staff to ensure proper product/service billing and revenue recording to the correct GL coding. Prepare monthly AM fees and reimbursable expenses invoices. Ensure timely completion for AR Manager review and final posting for month-end close. Respond to high-volume AR requests via email/phone/in person; manage 3rd-party credit card payment remitters and related website logins. Assist with AR vendor forms and registrations and 3rd-party electronic payment program acceptances/declines. Participate in the monthly close process related to cash receipts, AR and revenue; prepare related reconciliations and general journals for posting and AR Manager review. Required Education and Experience: Bachelor’s degree in accounting is preferred but not required. 3-4+ years’ experience in cash receipts, billing, payment account analysis, accounts receivable and accounting journal entries; experience with manual AR processes. Experience as an AR Accountant or Staff Accountant is a plus. Experience with cash receipts reconciliations and knowledge of deferred revenue recognition is a plus. Proficiency in accounting software and technology integration to support cash inflows; strong MS Excel skills (pivot tables, VLOOKUP, formulas, data analysis) and ability to manage data across multiple systems. Must have strong Microsoft Office skills and experience navigating and using various web browsers, website links, and online systems. Ability to multi-task and achieve results in a fast-paced environment; strong attention to detail, accuracy, and reliable follow-through; excellent written and verbal communication skills.
