Worldwide Speakers Group WWSG is seeking an experienced, talented and energetic individual to join our team as an Event Coordinator. Event Coordinators are responsible for the successful coordination of speaking engagements booked by our firm. The ideal candidate will serve as a liaison between our clients, our speakers and our organization once events have been contracted.
Responsibilities
Understand the complex needs of different events and diverse clients.
Stay under budget while coordinating travel specifications and itineraries for high profile speakers including celebrities, former politicians, journalists, business executives and subject matter experts.
Schedule, conduct and mediate pre event calls between speakers and clients.
Reconcile event expenses post event in a timely manner.
Anticipate and plan for possible different scenarios.
Liaise with speakers and clients to identify individual needs and ensure speaker and client satisfaction.
Proactively handle arising issues and troubleshoot problems on or before the event day.
Plan and coordinate travel and lodging for speakers ensuring adherence to clients constraints and speaker requirements.
Coordinate and monitor event timelines and ensure deadlines are met.
Respond to inquiries and special requests (e.g., VIP receptions, book signings) and resolve unexpected challenges in a friendly and efficient manner.
Occasional travel to conferences where speakers deliver keynotes.
All other duties as assigned.
Knowledge, Skills, and Abilities
B.A. or B.S. required;
Campaign or advance experience preferred.
2+ years of travel logistics
5+ years of event planning or relevant experience required.
Strong project management, customer service and relationship building skills.
Ability to manage multiple projects independently
Excellent verbal and written communication skills
Interest and awareness of current events in business, politics, the economy and sports
Ability to work under general supervision and pressure, and must be detail oriented
