Boston . The Manager will lead and optimize all administrative and operational support functions for the sales business unit. This position acts as a central link between field operations, dispatch, finance, and leadership teams, ensuring smooth, end-to-end administrative processes that enable rapid business growth. The role involves oversight of vendor agreements, compliance documentation, billing workflows, and reporting processes, with an emphasis on accuracy, scalability, and efficiency. A key responsibility is to analyze operational and financial data to uncover cost-saving opportunities and support informed strategic decisions. The ideal candidate will be proactive, detail-oriented, and capable of aligning cross-functional teams while developing scalable systems for ongoing expansion. Main Responsibilities
Collaborate with operations and daily dispatch teams to understand customer, hauler, and disposal site relationships, ensuring corporate-level administrative alignment. Perform administrative tasks to document and track vendor agreements and accounting data; develop and manage scalable processes. Maintain accurate records of contracts, purchase orders, and compliance documentation. Analyze load data and audit waste stream reports for accuracy and profitability; streamline reporting to identify cost control and revenue opportunities; communicate findings and support corrective actions. Partner with finance and accounting teams to ensure accurate billing processes for new and existing customers; streamline workflows to reduce manual entry and minimize errors. Investigate and reconcile invoice and service record discrepancies. Build strong knowledge of internal processes and procedures; contribute to training and documentation efforts. Support monthly reporting and budget tracking for organics programs. Hire, train, and develop team members to support business growth. Ensure logistics and sales teams receive timely and accurate support for compliance, billing, purchase orders, vendor payments, and other administrative workflows, avoiding execution delays for current or prospective customers. Candidate Qualifications
3+ years in an administrative supervisory or management role; experience in transportation, services, waste, or recycling industries preferred. Ideally from a financial background. Proficiency in Microsoft Office and data analysis tools (e.g., Power BI). Salesforce experience preferred. Experience with purchase orders, accounts payable, vendor onboarding, vendor management, and P&L cost/revenue oversight. Strong organizational, communication, and cross-functional collaboration skills. Ability to manage multiple priorities while strategizing and implementing long-term process improvements.
