Base pay range:
$75,000.00/yr - $87,500.00/yr
Job Description Coba Properties is seeking an experienced and highly organized Property and Facilities Manager to oversee tenant relations, maintenance operations, and capital improvement processes across a 200+ unit residential, retail, and office portfolio. This individual will be responsible for ensuring resident satisfaction and the physical integrity, safety, functionality, and appearance of all properties and grounds.
Key Responsibilities
Tenant Relations
Serve as a primary point of contact for maintenance-related resident concerns, ensuring timely communication, follow-through, and service resolution
Communicate professionally and empathetically with tenants regarding repairs, project timelines, unit access, and any building-related issues
Participate in leasing efforts including, but not limited to, property prospect tours and marketing efforts to maintain high levels of occupancy and support tenant satisfaction and retention.
Conduct in-unit inspections and assist with turnover completion to prepare vacant units for new residents and ensure all turnovers are achieved within a maximum 2-week window
Maintenance Operations
Manage and prioritize daily maintenance requests and work orders via property management software (Appfolio) and on-site coordination
Allocate a team of maintenance technicians and supervisors to property needs and maintenance tickets as they arise.
Coordinate and build rapport with vendors and third party contractors to handle property needs outside of maintenance staffing capacity.
Ensure all maintenance operations are completed in a timely manner and within the yearly operating budget for each property.
Reliable communication Monday-Friday, with responsiveness to after-hours and weekend emergencies
Capital Improvements
Plan, coordinate, and supervise capital improvement projects such as HVAC upgrades, plumbing / electrical system upgrades, roofing repairs, and substantial renovations.
Coordinate and balance in-house general contracting efforts with resident needs to ensure minimal disturbance during renovation efforts and continued resident satisfaction.
Negotiate vendor contracts and hold vendors accountable to delivering repairs on time and within budget.
Maintain accurate records of all improvements and manage all product and labor warranties.
Documentation & Reporting
Prepare weekly recurring reports of portfolio-wide maintenance activities, completed tickets, and future repair forecasting for internal review
Document daily maintenance spend to ensure accurate accounting of cost on a property by property basis.
Organize and standardize maintenance tools and material inventory portfolio-wide.
Create and execute recurring preventative maintenance schedules to ensure property longevity.
Qualifications
5+ years of maintenance and facilities management, including supervisory and project roles.
Strong knowledge of residential building systems (electrical, plumbing, HVAC, etc.)
Experience managing boutique-style, multi-site properties
Active DC Property Manager License
Excellent interpersonal and communication skills with a tenant facing mindset.
A working knowledge of various DC regulatory agencies and the types of inspections they conduct including the DC Housing Authority, the District Department of Buildings, and the District Department of Licensing and Consumer Protection.
Familiarity with applicable landlord-tenant regulations and communication conventions.
Proficiency with property management software.
Strong knowledge of DC neighborhoods and the ability to travel efficiently to multiple properties within an 8-hour workday via car, bike, etc.
Reside in Washington, DC or within close proximity
