Position Overview

The Youth Engagement Operations Coordinator is a key operational support role within the Community Engagement Department at Girls Inc. of Chicago. This position is responsible for coordinating logistics, managing data systems, supporting grant compliance, facilitating communication follow-up, and assisting with select youth-facing programs such as Girl Ambassador workshops and career exposure events.

This role ensures that behind-the-scenes systems efficiently support program staff in delivering high-quality, mission-aligned youth engagement experiences. The Youth Engagement Operations Coordinator will also provide in-person event and field trip support, prepare registration tools and flyers, track evaluations and data, and assist with scheduling, reporting, and cross-departmental communications.

The Youth Engagement Operations Coordinator reports directly to the Director of Community Engagement and works closely with the Youth Engagement Manager to ensure consistent implementation and alignment of department-wide processes and expectations.

Primary Responsibilities

Data Systems & Evaluation Tracking

Manage department use of all databases including Compass360 and other grant-required databases. Administer youth evaluation surveys, compile and analyze reports, and track data collection checkpoints with staff. Pull data reports and maintain clean documentation systems for grant deliverables and internal tracking. Organize and archive program documents and files using OneDrive and department-shared folders. Program Logistics & Event Coordination

Coordinate logistics for all CE programs, including space reservations, transportation bookings, supply preparation, and run-of-shows. Support logistics for seasonal programs such as Spring Break Camp, Summer Camp, Youth Winter Sports, GLAM Camp, and other field trips or events. Oversee on-site operations during partner visits, field trips, and community showcases, ensuring safety protocols are followed, communication flows effectively, and logistics run smoothly in real time. Communications & Scheduling Support

Serve as the lead responder for all Community Engagement outreach received through the department's general inbox or external inquiries. Maintain real-time communication with the Director regarding key updates, partner communications, and family inquiries to ensure alignment and follow-through. Create and maintain registration forms, event flyers, and promotional materials for CE programs and events. Track and organize all email communications, ensuring timely follow-up and clear documentation of requests, partner needs, volunteer needs, and scheduling logistics. Coordinate internal and external (including collaborators, corporate volunteers, and other GioC partners) meeting and event scheduling, including calendar invitations, reminders, and preparation of materials for department meetings, partner check-ins, volunteer onboarding, and planning sessions. Grant Compliance & Administrative Reporting

Track grant deliverables and ensure all required data is entered and up to date. Assist with preparing documentation for PPR (performance progress reports) and funder site visits. Maintain internal systems for grant tracking, evaluations, and partner engagement tools. Youth Program Support - Girl Ambassador & Career Exposure

Facilitate youth workshops and learning experiences related to Girl Ambassador programs, including prep for speaker series, community events, and field trips. Provide academic and logistical support during after-school sessions, tutoring blocks, and informal sessions when assigned. Coordinate and support logistics for Girl Ambassador career readiness events and special initiatives (e.g., Project Accelerate, She Shines, SSB Gala, etc.). Support youth preparation and coordination for Girls Inc. board events, exposure experiences, and organizational initiatives. Assist with organizing event materials, coordinating attire and gear, and leading day-of event support and presence. Organizational Event & Board Engagement Support

Additional Responsibilities

Participate in organizational initiatives and internal events. Uphold continuous improvement and collaborative teamwork. Complete other duties as assigned to support mission success. Essential Knowledge and Skills

Strong organizational, project coordination, and administrative skills. Proficiency in Microsoft Office Suite, Google Workspace, and data systems (Compass360, eCornerstone, Illinois WorkNet, etc.). Attention to detail and accuracy in data management and reporting. Ability to respond professionally and promptly to communications and emails. Experience working in youth development, community-based programming, or education support roles. Commitment to equity, inclusion, and respectful communication practices. Ability to build rapport with youth, families, and external partners. Willingness to support field trips, evening/weekend events, and cross-functional initiatives. Education & Experience

Bachelor's degree required in Nonprofit Management, Education, Social Work, Public Administration, Youth Development, or related field; Master's preferred. 3-5 years of direct experience in nonprofit program coordination, youth operations, or educational logistics. Proven ability to manage logistics, registration systems, scheduling, and field trip coordination in youth-serving environments. Experience supporting grant compliance, including data entry, program evaluation, and reporting. Skilled in handling external communications and high-volume inboxes on behalf of senior leadership. Proficient in data systems and CRMs (e.g., Compass360, eCornerstone, Salesforce); capable of pulling reports and maintaining organized records. Strong written and verbal communicator; able to draft outreach emails, flyers, and internal updates. Comfortable working independently in fast-paced settings with multiple priorities. Prior experience serving diverse youth and families across Chicago communities required.

Physical Requirements and Work Environment

This position requires the ability to operate phones, computers, and other office equipment, and the physical ability to perform light lifting. This person must be able to communicate effectively with program participants. Work is generally performed in an office or classroom setting, and may involve standing, stooping, bending, and walking. Girls Inc. will make accommodation when necessary. This person may be required to travel to various locations throughout Chicago. Generally, the working conditions have little or no exposure to extremes in safety hazards or hazardous materials.
