Description
As Gateway Center continues to grow in scope and community impact, there is a clear need for dedicated administrative and operational support across our external communications and fundraising functions. This new position will enhance internal capacity, ensure timely and accurate donor engagement, improve digital communications, and streamline development-related systems and processes.
Position Summary
The Administrative Support and Development Operations Coordinator will provide cross-functional support for the organization's communications, website management, and fundraising operations. This role is ideal for a detail-oriented, tech-savvy individual with strong communication skills and a passion for nonprofit development work. The coordinator will support donor stewardship activities, manage data systems, conduct basic prospect research, and contribute to the organization's digital presence and community outreach.
Key Responsibilities
Administrative and Communications Support

  • Provide general administrative assistance to the Executive Director and development team.
  • Draft and proofread communications, including donor letters, newsletters, and e-blasts.
  • Maintain and update the organization's website and social media platforms in collaboration with staff.
  • Coordinate logistics for meetings, events, and donor engagement activities.
Development Operations
  • Maintain donor and prospect data in CRM (currently Auxilia), ensuring data integrity and timely updates.
  • Process gifts, generate acknowledgment letters, and track stewardship touchpoints.
  • Conduct basic research on current and prospective donors and funders using public sources and internal tools.
  • Support grant reporting efforts by collecting data and managing files.
Stewardship and Prospect Research
  • Ensure timely stewardship through personalized thank-you letters, donor reports, and donor lists.
  • Assist in developing donor profiles and briefing documents for leadership and board use.
  • Track donor interactions and prepare reports on giving trends, retention, and campaign progress.
Qualifications
  • Associate's degree or equivalent experience required; Bachelor's degree preferred.
  • 2+ years of administrative, communications, or nonprofit experience preferred.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office, Google Workspace, and web CMS platforms (e.g., WordPress).
  • Experience with donor databases/CRMs (e.g., Bloomerang, Salesforce, etc.) a plus.
  • Excellent attention to detail and organizational skills.
  • Commitment to the mission and values of Gateway Center, especially around mental health, equity, and community empowerment.

Compensation Recommendation
  • Hourly Rate Range: $23-$28 per hour commensurate with experience.
