Position Announcement The Senior Administrative Support role at Utah Valley University offers the opportunity to contribute to the success of the Provost's Office through high-level administrative expertise, professional discretion, and strong organizational leadership. Reporting to the Academic Chief of Staff and Associate Provost of Academics, this position manages complex, confidential tasks while supporting key academic and operational priorities. From coordinating executive schedules and preparing financial reports to overseeing payroll and budget processes, this role is integral in ensuring the smooth operation of critical academic functions.

Summary of Responsibilities
Performs advanced and confidential administrative support duties, including composing correspondence, meeting minutes, financial reports, and obtaining factual information requiring knowledge of policies/procedures of both assigned and work-related areas. Coordinates supervisor's calendar. Coordinates the preparation and submission of reports, publications, and newsletters. Coordinates department financial activities including new hire paperwork, requisitions, purchase orders, travel, index tracking and reconciliation, budget balances, etc. Oversees the payroll process, including preparation, submission, monitoring and maintenance, ensuring accurate and complete payroll records. Prepares and manages budgets. Informs students, faculty, and public of departmental and university services available. Provides correct and accurate information. Interprets/explains policies and procedures to employees, residents, family members, visitors, government agencies, etc. as necessary. Anticipates the executive's course of action and facilitates problem resolution. Maintains confidentiality. Performs miscellaneous job-related duties and responsibility for special projects as assigned. Maintains inventory of office equipment and supplies. Handles other office duties as needed which may include supervision of office support. Establishes, updates and maintains unit files, inventories, ordering, receiving, billing, distributing, monitoring, and reconciling expenditures. Handles incoming calls and walk-in traffic. Provides correct and accurate information to students, faculty and staff members, and external stakeholders. Works in collaboration with other administrative support staff members in the Provost's Office to manage and perform functions that affect operations of the Provost's Office. Qualifications / Licenses / Certifications
Graduation from an accredited institution with a bachelor's degree and one year of experience related to the summary of duties; OR an associate's degree and three years of experience related to the summary of duties; OR any combination of education and/or experience totaling five years.
Preferred Qualifications: Knowledge of UVU systems, including Microsoft Suite, SAP, Concur, Adobe, and Banner.. Knowledge / Skills / Abilities

Skills Skill in the use of computers and computer software applications, including word processing, spreadsheets, e-mail, databases, and presentations.
