Overview
Administrative Specialist I role at Dana-Farber Cancer Institute. Supporting the division of Patient Care Services. Provides administrative support to staff in leadership, programmatic, and patient-facing roles in support of the institutes mission. Uses office software to manage calendars, schedule meetings, book rooms, arrange events, and produce reports, spreadsheets, presentations, or other documents. May assist with project-based work and interface with senior management and internal/external customers. Responsibilities Provide administrative support for the division of Patient Care Services. Perform duties such as answering phones, maintaining office supplies, mail management, managing calendars, arranging meetings, supporting programs and projects, and submitting work orders for maintenance issues. Manage meeting planning and schedules for individuals and teams. May liaise between patients and clinical staff to provide scheduling support. Draft communications for department members or supported individuals. May be responsible for data entry. Provide email and phone communication with internal and external teams. May serve as onsite representative for external groups, visitors, or collaborators. Prepare general correspondence, letters of recommendation, Excel spreadsheets, presentations, and editing. Handle financial responsibilities including P-Card charge review, expense reports, vendor payments, invoice creation, and office supply ordering. Coordinate travel arrangements as required. Maintain high levels of professionalism, discretion, and confidentiality. Other duties as assigned.
Qualifications
Minimum Education: High school diploma required; Bachelors degree preferred. Minimum Experience: 1 year of relevant experience. Knowledge, Skills, and Abilities: Good written and oral communication; proficient in Microsoft Office Suite, Google Suite, Zoom, and Adobe. Exceptional customer service skills; ability to interact professionally with peers, leadership, and external contacts. Ability to identify and resolve problems, maintain confidentiality, and pay attention to detail. Ability to organize, multi-task, prioritize, and follow-through.
