Description

To greet and refer a wide variety of visitors and callers to our beautiful parish in a welcoming manner, schedule facilities and provide clerical assistance.

ESSENTIAL POSITION DUTIES: Welcome and provide hospitality to office visitors and parishioners, creating a warm and professional environment. Respond to parish phone calls and manage inquiries received through shared parish email inboxes, ensuring timely and helpful communication. Provides general information to persons calling or visiting the parish.

Utilizes other church, social service, community and/or government directories to provide accurate and helpful information to persons. Oversee phone system maintenance and voicemail management, including configuration, routing setup, and recording of all main line greetings. Serve as the liaison with the IT company to manage and improve phone flow.

Oversees scheduling and use of parish facilities.

Maintain kitchen, office and resource room supply inventory and reorder as needed. Maintain clean and organizerooms and closets. Regular rounding of church and public spaces to assure clean and welcoming environment.

Maintains centralized online calendars, including liturgy calendar/ Provides clerical assistance as requested by the supervisor including calling to schedule or confirm meetings, filing, collating, copying, sorting and preparing labels. Opens and distributes incoming mail and ensures the mailing of outgoing mail. Provides assistance to parishioners requesting Mass requests and Mass cards and provides information about stipends. Liaison to Spanish Speaking Community (if bilingual)

Monitor the parish's Spanish-language email account and respond to inquiries related to sacramental preparation, meeting with a priest, and general parish information. Serve as a liaison for Spanish-speaking parishioners, offering assistance and translation support to ensure clear communication and access to parish services.

Qualifications

ESSENTIAL QUALIFICATIONS:

Primary:

Carries out the mission of the Church and the parish to help people come to know and follow Jesus Christ by supporting the administrative functions of the parish office, collaborating with the pastor, staff and volunteers, and managing a number of essential processes. Ability and desire to use God-given gifts and talents in service of the local Church in support of the collaboration between lay and ordained Ministers. Active member of a parish/faith community in good standing with the Church. Experience:

Strong receptionist and general office experience. Prior experience providing high levels of administrative support in complex situations that require problem solving skills and good judgement. Proficient in web conference call platforms (e.g., Zoom) and MS Office tools (especially Word, Excel, Power Point, Teams, and SharePoint). Event coordination and planning experience. Education:

Bachelor's degree or equivalent experience preferred.

Other Elements:

Knowledge of and familiarity with the Catholic Church in Western Washington. Experience working with a diverse population in an urban setting Excellent communications skills. Ability to work with various personalities in a consistently professional manner. Ability to maintain high standards of confidentiality. Excellent organizational skills, with ability to multi-task. Ability to work independently as well as in a team. Proofreading skills. Relationship and service driven, eager to connect and assist others. Self-starter, able to consider issues and come to reasonable solutions independently. Inquisitive and eager to understand large organizations and/or complex working environments. Bilingual competencies and/or experience working across multiple cultures are a plus.

Any offered salary is determined based on internal equity, internal salary ranges, market data, applicant's skills and prior relevant experience, certain degrees and certifications.
