Primary Purpose: Serve in a multi-functional administrative role providing high-level executive support to the Superintendent, coordination of PEIMS (Public Education Information Management System) data reporting, and administrative support for Human Resources operations. Ensure accuracy, compliance, and confidentiality in all areas, manage communication with internal and external stakeholders, and support district functions through efficient coordination and data integrity. Supervise clerical staff, as needed.

Qualifications: Education/Certification:

High school diploma or GED (required) Additional coursework in business administration, education, human resources, or data systems (preferred) Special Knowledge/Skills:

Knowledge of PEIMS data standards and state/federal reporting requirements Knowledge of school district organization, operations, and board protocols Proficiency in Microsoft Office Suite and data management software Strong skills in keyboarding, 10-key, file maintenance, and document preparation Ability to analyze data, identify errors, and maintain auditable records Excellent public relations, communication, and interpersonal skills Ability to manage multiple priorities and deadlines under pressure Discretion in handling confidential and sensitive information

Experience:

Minimum of 5 years administrative or secretarial experience in a school district setting Experience with PEIMS data reporting and HR administrative functions, preferred Experience supporting executive-level leadership and interacting with the public, required

Major Responsibilities and Duties: Executive Administrative Support

Manage daily operations of the Superintendent's Office, including calendar management, scheduling, and communication with board members and stakeholders. Prepare and distribute agendas, board packets, and official records for board meetings in compliance with legal requirements. Record minutes for executive and board meetings, and maintain all related documentation. Handle incoming correspondence, phone calls, and inquiries; route as appropriate and respond with professionalism. Assist with travel arrangements and conference registration for board members and administrators. Supervise or coordinate tasks for clerical staff within the executive or administrative office, as assigned. PEIMS Data Coordination

Coordinate the collection, verification, formatting, and submission of PEIMS data to the Texas Education Agency (TEA) in compliance with state guidelines. Collaborate with campuses, business office, and HR to ensure complete and accurate data entry. Perform data validation through edits, reports, and verification checks; ensure timely corrections. Maintain knowledge of PEIMS Data Standards and attend required TEA/ESC training sessions; disseminate updates to relevant personnel. Provide training and support to campus and central staff on PEIMS data requirements. Human Resources Administrative Support

Assist in preparing recruitment and new hire packets, contracts, and onboarding materials. Maintain employee files, assist with data entry in the HRIS system, and track certification or employment documentation. Monitor and process employee leave forms, timekeeping records, and other personnel documents. Help compile and file federal, state, and local reports related to employment, staffing, and compliance. Support the Leadership Team in coordinating interviews, meetings, and departmental communications. Compliance, Records, and General Office Duties

Ensure compliance with district policies, legal requirements, and board expectations across all functions. Maintain accurate, confidential records in executive, HR, and PEIMS-related systems. Receive, sort, and distribute mail; manage office supplies and equipment as needed. Follow all district safety protocols and emergency procedures.

Supervisory Responsibilities:

May assign tasks or provide guidance to clerical staff as assigned by supervisors.
