Greets visitors to the office and answers the telephone; refers calls and callers to the supervisor and other staff; takes messages; makes appointments; and provides direct factual information when appropriate. Receives and opens incoming mail; attaches related materials; prepares routine acknowledgments or form letters; composes routine correspondence for supervisor's review; reviews outgoing correspondence for accuracy and conformance with procedures. Establishes and maintains subject matter, alphabetic and\/or chronological files and supplies records upon request. Procures supplies, equipment, and services through agency channels. Consults or studies specific books, manuals, catalogs or other sources to obtain information. Makes assignments of facilities, vehicles, equipment to optimize use. Orally relays messages and instructions to subordinates of the supervisor. Allocates debits, credits, costs or other similar bookkeeping items of operational procedures to correct accounts or classifications. Types and transcribes documents; prepares duplicating materials; may take dictation and transcribe. Explains details of services, methods or policies; reviews the work of others and corrects errors. Approves or recommends items following operational policies; may supervise clerical subordinates on highly complex clerical work. Minimum Qualifications

Experience Requirements:

Except for substitutions provided for in this specification, applicants must have had work experience of the kind and quality described below and in the amounts shown in the following table. General Clerical Experience:

Work experience demonstrating knowledge of English grammar, spelling and arithmetic; ability to read and understand instructions; and to speak and write simply and directly. Specialized Clerical Experience:

Progressively responsible typing, stenographic and\/or substantive clerical work including experience with office equipment and secretarial tasks such as answering phones, maintaining files, making travel arrangements, composing correspondence, and handling routine information. Total Experience (Secretary II):

2.5 years (General Clerical 0.5 year + Specialized Clerical 2.0 years). Substitutions

Substitutions Allowed:

A combination of work experience and\/or education may be accepted as satisfying minimum qualifications if it demonstrates knowledge, skills and abilities comparable in quality and quantity to that described in this specification. Substitution of Education for Experience

Graduation from high school with courses in basic English and arithmetic may be substituted for six months of General Clerical Experience. Completion of a substantially full-time equivalent clerical, stenographic or secretarial curriculum leading to a degree or diploma at an accredited school, including courses in business English, arithmetic, office clerical procedures, and office machines, will be deemed equivalent to one year of Specialized Clerical Experience. Partial completion of such a curriculum may be substituted on a month-for-month basis. Education in a baccalaureate program may be substituted on the basis of fifteen semester hours for six months of experience, up to a maximum of one year, provided it includes relevant courses. Quality of Experience Possession of the required years of experience does not by itself prove qualification. The applicant’s overall experience must demonstrate the ability to perform the duties of the position. Supplemental Information

Salary:

The advertised salary is based on full-time employment and includes applicable differentials. Requirements:

Applicants must meet all requirements as of the date of the application. Education and experience may not be gained concurrently unless specified. Calculation of experience is based on full-time 40-hour weeks; part-time experience is pro-rated. Temporary Assignment Claims of Temporary Assignment (TA) experience to meet minimum qualifications must be verified and attached to the application using one of the methods below: A copy of TA History Report or equivalent; A signed letter from supervisor with TA details and duties; or, Copies of signed SF-10 Forms. Payday:

New employees can expect their first paycheck within the first 3 pay periods. Payday is on the 5th and 20th (or the previous business day). Benefits:
