Overview
Executive Assistant to Chief Executive Officer. Reporting directly to the CEO, the Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO. The Executive Assistant also serves as a liaison to the Board of Directors and leadership teams; organizes and coordinates executive outreach and external relations efforts; and oversees special projects. The role requires creativity, discretion, and an ability to work within a small, mission‑driven, results‑driven, faith‑based environment. The ideal candidate will exercise good judgment in various situations, with strong written and verbal communication, administrative and organizational skills, and the ability to manage multiple projects effectively, including confidential matters.
Salary Range: $55,000 to $65,000
Responsibilities
- Complete a broad variety of administrative tasks for the CEO, including managing an extremely active calendar of appointments, completing expense reports, composing and preparing confidential correspondence, arranging complex and detailed travel plans, itineraries, and agendas, and compiling documents for meetings.
- Plan, coordinate, and ensure the CEO’s schedule is followed and respected. Provide a gatekeeper/gateway role, offering direct access to the CEO’s time and office.
- Provide a bridge for smooth and confidential communication between the CEO’s office and internal departments.
- Work closely with the CEO to keep them informed of upcoming commitments and responsibilities, with appropriate follow‑up.
- Schedule projects and ensure timelines are developed and met.
- Prioritize conflicting needs; handle matters expeditiously and proactively; follow through on projects to successful completion, often under deadline pressure.
- Other duties as assigned, including personal errands for the CEO.
Board Support and Liaison
- Serve as the CEO’s administrative liaison to the Interfaith Family Services Board of Directors.
- Maintain discretion and confidentiality in relationships with all board members.
- Ensure compliance with bylaws and applicable rules for board and board committee matters, including advance distribution of materials before meetings in electronic/paper format.
- Participate as an adjunct member of the Executive and Leadership Team, including scheduling and attending all meetings.
- Assist in coordinating the agenda for executive and leadership team meetings and all‑staff meetings.
- Manage leadership teams’ monthly POWs and reports to the CEO.
Communications, Partnerships, and Outreach
- Ensure that the CEO’s bio is kept updated.
- Edit external documents including grants, donor acknowledgment letters, agendas, meeting packets, and similar materials.

Education and Experience Requirements
- Bilingual preferred (not required).
