Overview
Reporting to the Controller, the Staff Accountant works closely with all members of the Accounting & Finance Department to optimize department efficiency, which in turn contributes to overall company success. The Staff Accountant is highly motivated, organized, an effective collaborator, and able to track multiple projects and responsibilities simultaneously. This individual is expected to provide and apply high-level skills to the full accounting cycle needs of the company as it expands.
Responsibilities
- Manage full cycle AR process
- Import Invoices to NetSuite and send to customers daily
- Review Accounts Receivable Report and send past due notices to customers
- Work in tandem with Customer Service and maintain customer correspondence
- Receive, enter and code vendor invoices
- Coordinate with all department managers to ensure vendor invoices are received timely.
- Maintain and reply to customer and vendor inquiries and correspondence
- Reconcile bank, sales, and other GL accounts for monthly review and close
- Process accruals and allocations for monthly review and close
- Execute sales tax requirements for all company divisions
- Assist with periodic tax and insurance audits
- Manage equipment purchasing and related customer invoicing
- Provide data, analytics, and any assistance requested by Controller
- Maintain department record-keeping organization
- Participate in and maintain department review and record-keeping processes to stay compliant with GAAP requirements
- Adhere to all company policies and protocols
- Prepare requested weekly, monthly, quarterly, and annual reporting in compliance with local, state, and federal government tax requirements
Financial Planning & Analysis
- Assist in the preparation of the annual budget, forecasts, and long-term financial plans.
- Analyze financial performance against budget and forecast, identifying key variances and trends.
- Provide detailed financial analysis and reporting on key performance indicators (KPIs), including sales, margins, expenses, and profitability.
- Generate ad-hoc reports and analyzes to support strategic initiatives and business decisions.
Department Planning
- Crosstrain with team members to have a full understanding of the accounting cycle and processes
- Identify and implement procedural improvements in department duties as agreed upon with the team
- Understand current and participate in the implementation of new systems/tools to increase company workflow efficiency – both specific to Accounting Department and for the company as directed
Qualifications (Knowledge, Skills & Abilities)
- Local to SF Bay Area. Ability to work a hybrid, full-time schedule Monday through Friday
- 3-4 years minimum accounting experience in a professional, high-volume office environment
- Associates’ degree in Accounting, Business Administration, or other related fields, preferred (or equivalent combination of experience and education)
- Must have 1-2+ years’ experience with a general ledger and/or experience with subledger platforms like AP and AR; NetSuite and Bill.com experience preferred.
- Must be very organized and able to prioritize to meet deadlines in a fast-paced, dynamic environment
- Strong attention to detail and adherence to accuracy
- Is motivated, positive, flexible, professional, and dedicated
- Self-directed and independent, with the ability to work closely with team members
- Deep understanding of cost accounting and principles
- Outstanding written and verbal communication with managers, allstaff, vendors, and retail customers
- Open to incorporating new manual and technological tools to improve job efficiency
- Maintains excellent attendance and punctuality
- Is resourceful in challenging situations
- Ability to learn online database programs
- High level of proficiency in Microsoft Word and Excel, email, and calendar management
- Must have the maturity to use discretion and diplomacy in all aspects of the job
Physical Demands & Work Environment
- Frequently sitting at a desk or workstation using a computer display, keyboard, and mouse
- Constantly operates a computer and other office productivity equipment (i.e., adding machine, printer, laptop, etc.)
- Occasionally move about inside the office to access file cabinets, inventory shelves, office machinery, etc.
- Flexible to working from home as directed or needed
