TITLE: Associate Director of Student Life

DEPARTMENT: Student Life

GENERAL SUMMARY: The Associate Director of Student Life serves as an active member of the Booth Student Life team. This position will be responsible for the successful execution of several community, student hosted, and Student Life hosted events. This includes event planning, logistics, and coordination of activities and events for current and prospective students. This individual serves as an important resource to ensure an exceptional student experience and works closely with the Student Life and Program Operations teams in Hong Kong and London.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

  1. Serve as the front-facing team member for students.
  2. Address student questions and resolve issues when possible, including, but not limited to the following areas: Kick-Off Week, elective course selection, campus transfers, information updates, schedule/logistics, and events.
  3. Oversee the Assistant Director to manage the operations for all class weeks.
  4. Help manage program management tasks when appropriate.
  5. Organize current student social Student Life events including, but not limited to the following areas: cross-cohort events, guest speakers, Elective Weeks events, Kick-Off Week events, and Graduation events.
  6. Coordinate and implement event logistics; researching and assisting with vendor selection including negotiating vendor contracts, preparing event budgets, processing and reconciling expenses, and preparing financial reports.
  7. Manage vital components of the class weekend experience such as catering, coordination with other relevant Booth departments, and other event logistics.
  8. Manage the XP Student Life Canvas Program sites.
  9. Manage the SPC in terms of election and scheduling quarterly meetings and events. Manage the formal and informal student groups.
  10. Collaborate with London and Hong Kong teams and facilitate necessary committees.
  11. Assist in admissions yield efforts including, but not limited to the following areas: yield events, phone calls to admitted students, admitted student gifts, buddy program, and admitted student inquiries.
  12. Develop and maintain relationships with other departments/centers, i.e., Faculty and Academic Services, Polsky, Rustandy. This includes managing communication to and from these offices, disseminating appropriate information in a timely manner, planning joint projects or meetings, and implementing new processes or projects.
  13. Assist with staffing Student Life events when necessary; will require working nights and weekends when needed. Expected to be at Gleacher for class weekends.
  14. Complete special projects and undertake additional duties for the Executive MBA program and the broader Booth Student Life team as assigned.

MEASURE OF SUCCESS:

  1. Positive feedback from Booth constituents (students, alumni, faculty, staff, and other visitors)
  2. Timeliness, accuracy, and quality of all tasks and projects.
  3. Successful execution and close-out of quarterly projects and processes.

REPORTING RELATIONSHIPS:

  1. Reports to the Senior Director of Student Life

KNOWLEDGE, SKILLS AND EXPERIENCE:

  1. Bachelor's degree required; graduate degree preferred.
  2. A minimum of five years of experience working with students, planning programming or counseling, or working in an educational environment required. Business school experience preferred.
  3. A minimum of five years of experience managing projects or programs required.
  4. Demonstrated expertise in program development and management and collegial and collaborative leadership style preferred.
  5. A strong interest and capacity for working with students in providing academic counseling and support required.
  6. Excellent organizational skills required.
  7. Proven abilities to supervise projects and work on several projects simultaneously required.
  8. Ability to consistently meet deadlines, to problem solve, to exercise good judgment, to prioritize, to make decisions, and to work under pressure during seasonal high volume required.
  9. Professional demeanor, including tact, discretion, and a customer service-oriented approach to the job, required.
  10. Ability to maintain confidentiality required.
  11. Outstanding interpersonal and verbal and written communications skills required.
  12. Ability to effectively communicate with faculty and administrators at all levels within the University required.
  13. Strong attention to detail for executing complex projects required.
  14. Creativity in conceiving systems to solve problems and resourcefulness in pulling the needed elements and people together to implement them required.
  15. Proficiency with computers, including MS Office and network functions, required.
  16. Ability to work the following schedules:
    1. Business Hours, Monday through Friday, as the regular schedule and 8:00 am 5:00 pm when EMBA students are in session.
    2. Hybrid staffing with 3 days in the office and 2 days working from home.
    3. Willingness to flex hours as determined by the needs of programming.
