The State Treasurer serves as the chief banker and investment officer of the state of New Mexico. As such, the State Treasurer provides cash management to state agencies, invests the state agency and local government investment pools, administers New Mexico's Achieving a Better Life Experience (ABLE) and retirement savings programs, validates bank activity, acts as the paying agent on the state's outstanding debt/bond issues, and enforces the states collateral policy on financial institutions holding state money.

Why does the job exist?
The Senior Administrative Assistant position administers a high-level, fast-paced administrative support for the State Treasurer and Deputy Treasurer. This position assists in managing the State Treasurer's schedule who is on 13 boards, councils and commissions and provides comprehensive packets accordingly and timely.
How does it get done?
This position will work independently and provide an important role supporting the State Treasurer, Deputy Treasurer, and staff. This position will provide a high level of administrative support in a fast paced environment to include scheduling, agenda and packet preparation, assist in coordinating, scheduling and tracking multiple meetings, travel both in state and out of state, ensuring compliance with the state procurement code, prepare meeting rooms, greet guests, attend meetings, record and takes minutes for the State Treasurer's Investment Council (STIC). This position must know the legal requirements for being the records custodian, answer phone calls, handle and distribute all mail to divisions, send out mail in a timely manner, respond to all constituents in a timely manner and provide a positive work environment for all staff. Utilizes independent judgment, multitask, timeliness, organizational skills, assists, plans and makes recommendations.
This position will manage the schedule for the State Treasurer who is on 13 boards, councils and commissions and must have the ability to multitask, be prompt and consistent with scheduling and provide comprehensive packets and necessary information in a prompt and concise manner. This position provides a high level of customer service and interacts with board members, attorneys, tribal leaders, and members of the public.
This position plans and organizes financial information, makes travel arrangements & maintains travel expenses. Assists the State Treasurer's Office with procurement needs, maintain records, tracks and organizes fleet and ensures vehicles are maintained & clean and documented for travel, etc.
This position will be the records custodian and ensure all records are current and available for inspection. This position assists other departments and provides administrative support in the following areas, personnel, fiscal property management and IT.

Ideal Candidate
Ability to work in a fast-paced environment working independently, being prompt, utilize judgment, know how to prioritize and provide solutions. Critical thinking, brainstorming, multi-tasking, and have advanced organizational & tracking skills
Ability to analyze critical elements of the State Treasurer's Office.
Must have strong & professional communications skills, excellent customer service and communication skills. Must be able to communicate professionally, effectively and timely. Must have excellent and professional writing skills for all correspondence internally and externally.
Ability to maintain confidentiality.
Minimum Qualification
High School diploma or equivalent and two (2) years work experience in office administration. Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling two (2) years may substitute for the required experience.
Employment Requirements
Must possess and maintain a valid New Mexico Driver's License. Must possess and maintain a current Defensive Driving Course Certificate from the State of New Mexico or must pass and receive Defensive Driving Course Certification within six (6) months of date of hire as a condition of continued employment.
Working Conditions
Work is performed in an office setting with exposure to Visual/Video Display Terminal (VDT) and extensive personal computer and phone usage. Some sitting, standing, bending and reaching may be required. Some overtime and schedule flexibility may be required. Some travel may be required.
