Overview
Talent Acquisition Specialist at Ashcroft Inc. Provides confidential and professional administrative support to the CEO, CFO, and VP-level executives. Maintains efficient executive operations by managing schedules, calendars, and tasks, and prepares documents, spreadsheets, graphs, charts, and presentations. Handles sensitive information with discretion.
Responsibilities
Provide effective administrative support to Senior Executives, including managing email and calendars; prioritize scheduling conflicts to ensure efficient time utilization and meeting preparation.
Analyze and organize executive administrative operations, evaluate and revise procedures, and devise new methods to improve workflow and time management to ensure compliance with directives and company policy.
Disseminate information to all levels of management, Board of Directors, legal counsel, customers and vendors.
Prepare materials for senior executives (conferences, correspondence, appointments, meetings) in draft or final form.
Screen phone calls, inquiries and requests in a professional and timely manner.
Organize meetings, conference calls and events for executive staff; attend meetings, take minutes and follow up on action items as needed.
Prepare and maintain files and records of a sensitive nature; organize files and ensure easy retrieval of documents.
Compile and reconcile executives’ expense reports and review expense reports submitted for approval.
Coordinate purchase and installation of office equipment and supplies.
Manage vendors, office supplies and equipment.
Look for opportunities to improve current processes to increase efficiency and add value.
Qualifications
Associate's degree or previous professional or administrative experience with minimum of 5 years related experience.
Ability to work independently with minimal direction and make decisions on own initiative.
Strong experience with full MS Office Suite, along with proficiency using SharePoint, MS Project and Power BI.
Strong organizational skills and the ability to set priorities, meet deadlines and multi-task.
Excellent interpersonal skills (both written and oral).
Excellent spelling and grammar and ability to proof own work.
Ability to coordinate and manage complex executive travel and event planning arrangements.
Ability to coordinate and direct project assignments working with cross-functional teams.
Proactive with a strong sense of initiative.
High level of professionalism and integrity.
