The SDSURF’s Facilities Planning & Management department supports and houses funded research in foundation-owned and leased properties. The team balances research, university, and commercial space occupancies to maximize research opportunities, university needs, and utilizes commercial rent revenue to offset operational expenses. We collaborate on daily functions and support the success of SDSU researchers. Responsibilities
YOUR ROLE IN CREATING THE UNIVERSITY’S PRESENT AND FUTURE As an Administrative Support Assistant I (ASA I) with the Facilities Planning & Management team, duties are performed under general supervision under the Maintenance Supervisor. Responsibilities include coordinating and overseeing front-office operations, serving as the primary point of contact for internal and external stakeholders, and providing superior customer service. A core function is being part of the Work Control team, receiving and triaging service requests via phone, email, or work order system; assigning priorities; and dispatching information to appropriate maintenance staff or vendors in a timely manner. The role includes creating, updating, and closing work orders, documenting service requests and project activities. Additional duties include scheduling conference room space, preparing, editing, and distributing documents and reports, and maintaining records in physical and electronic formats. Proficiency with word processing, spreadsheets, databases, and work order systems is expected. Duties Include But Are Not Limited To Front Desk Reception: primary front desk staff for the facilities maintenance crew. Independent Problem Solving: resolve customer and administrative issues with minimal supervision. Customer Service: provide exemplary service to diverse clients; handle escalated issues and guide back-up admins. Conference Room Requests: manage reservations for foundation conference rooms. Facilities Email Management: monitor and respond to service requests; create detailed work orders. Call Log: address messages promptly using established protocols. Work Order Requests: coordinate maintenance and repairs; assign priority, update, and close work orders. Employee Schedules: coordinate with supervisors; communicate changes; send daily notices. Supplies: order supplies as needed. Purchase Requests: assist with processing and tracking purchase/change orders. Key Database: manage key/access card requests; issue keys and maintain database. Notices: prepare and send tenant and building notices. Elevators: schedule service, notify tenants of outages, coordinate inspections, and maintain records. Backflow Preventers: coordinate inspections and maintain records. Meeting Coordination: prepare agendas, take minutes, and follow up on action items. Other duties as assigned. THE WORK YOU WILL DO AND MANAGE This position requires integrity, discretion, and professionalism when interacting with executives, faculty, staff, tenants, vendors, and contractors. The candidate should be organized, flexible, proactive, and able to exercise good judgment. Qualifications
THE SKILLS WE NEED Proficiency with computers; Microsoft Word, Excel, Outlook at an intermediate level; Google (Gmail, Drive, calendars); SharePoint and Smart Sheets. Experience in diverse, inclusive work settings and clerical/administrative tasks requiring judgment and discretion. Strong written and oral communication; English grammar, spelling, formatting, punctuation. Basic copy machine support, supply and equipment ordering, phone and visitor reception, calendar management, and general mail processing. Ability to learn and apply policies and procedures; exercise independent judgment, discretion, and initiative; problem-solving; and multi-task in a fast-paced environment. Ability to interact effectively with coworkers, vendors, and project staff; strong interpersonal skills; organization and deadline awareness. Experience in facilities/property management and with work order systems; basic arithmetic; and general office procedures. Experience And Education High school graduate or higher Preferred Qualifications 3-5 years in an office/administrative environment providing clerical support. Experience preparing memos, letters, and correspondence; customer service experience; administrative support experience. Experience creating Word documents and Excel spreadsheets with formulas.
