The Annual Fund Operations Manager is a key member of SF Ballets Development Operations team, serving as project manager for annual fund appeals, primary contact in Development Operations for Individual Giving reports and database needs, and power user of Prospect2 and Donate2. This role manages four annual fund direct mail and digital solicitation appeals throughout the year, analyzing results to maximize revenue in subsequent solicitations. The Annual Fund Operations Manager maintains a working knowledge of SFBs use of Tessitura and integrated software, utilizing many aspects of the database to support daily operations in individual giving and routine data analysis projects. This position will also play a central role in the ongoing development of operations processes and implementation for the Individual Giving team. Responsibilities Annual Fund Appeal Project Management From planning to execution, acts as project manager for SF Ballets quarterly appeals to ensure accurate and timely solicitation of upgrade, renewal, lapsed, and acquisition segments of the annual fund. Works with the Director of Individual Giving to finalize a data-informed segmentation plan and with the Director of Development Operations to generate comprehensive and accurate lists for individual appeals. Circulates lists for review by gift officers and members of the individual giving team in a timely manner. Manages the preparation and clean-up of lists for direct mail, email, and telefundraising appeals; and in collaboration with the Director of Development Operations ensures proper source code tracking is supported in Tessitura. Works with Director of Individual Giving to finalize materials for appeals, ensuring a cohesive look and voice. This includes reviewing and routing direct mail materials as well as emails and web portals (Donate2). Builds all annual appeal emails, routing for final approval and deploying when final. Responsible for generating monthly renewal donor campaign lists to ensure renewing donors are contacted in the month of their membership expiration. Uses Tessitura to track, monitor, summarize and synthesize campaign results for the Individual Giving team. Works with the Director of Individual Giving to identify areas for improvement year over year and within individual segments. Advises on segmentation strategy and potential areas of opportunity and growth within Individual Giving.

Development Operations Manages development program book donor list pulls, including their review and submission for the Development department. Ensures accurate parameters and data extracts for list pulls, coordinating with gift officers to ensure memberships are kept up to date and accurate in the system. Acts as a power user for our email marketing software, Prosect2; and as a point-of-contact for Tessituras contact point preferences implementation, maintenance, and integration with P2. Serves as the primary contact in Development Operations for all reporting, data analysis and list pull requests for the Individual Giving team, collaborating with Director of Development Operations as needed. Evaluates, implements, and maintains reporting processes for the Individual Giving team in consultation with the Director of Development Operations Assists the Director of Development Operations on Tessitura projects related to reporting, Individual Giving dashboard use, and ad hoc extractions. Manages the annual plan closeout and generation process. Maintains documentation for Development Operations processes related to Individual Giving including annual appeals, program books, Donate2, and other relevant Individual Giving operations. Supports the onboarding process by training staff in introductory Tessitura use.

Digital Content and Product Management Serves as a power-user for Development departments Donate2 software. In collaboration with the Director of Development Operations, builds, tests, and deploys web pages and email receipts for use in solicitation appeals. Assists Director of Development Operations with troubleshooting and reconciliation of Donate2 and Tessitura as well as routine testing during upgrades, patches, and the annual subscription renewal process. Works to optimize SF Ballets donor path for online giving, reporting issues as needed and coordinating with SF Ballets Webmaster to resolve issues as they arise. Performs website updates in WordPress, collaborating with SF Ballets Webmaster on webpage updates builds for the Individual Giving team as needed. Performs other duties as required or assigned by supervisor.

Years And Type Of Related Experience Required Three years experience working in a development department. Two years experience with database management, data analysis, or business systems analysis required. Tessitura or Raisers Edge experience highly preferred. Experience using Microsoft Excel and familiarity with vlookup, and pivot table functions. Basic understanding of SQL preferred but not required.

Technical Competencies Uses best practice fundraising methodologies and techniques to develop and manage direct mail and digital campaigns for the annual fund. Demonstrates sound project management skills, including the ability to prioritize and manage multiple projects. Performs data analysis with curiosity and a strong attention to detail, drawing conclusions that balance quantitative and qualitative analysis to improve results. Designs and implements systems to support the Individual Giving team that are sustainable and efficient and meet the needs of the giving officers in their work. Establishes and maintains effective relationships with coworkers, and contract workers by demonstrating diplomacy, building rapport, listening to needs, and problem-solving collaboratively. Organizes and communicates information effectively to small or large audiences, both verbally and in writing. Utilizes and maintains up-to-date knowledge of Tessitura, Donate2, Prospect2, Wordpress, word processing, spreadsheet, and email software, as well as other appropriate applications. Demonstrates commitment to superb and responsive service in every aspect of benefits delivery (events, written communication, solicitations). Effectively and accurately proofs all written communication sent from Development to mass audiences (of more than 100 households) using the Ballets approved style and editorial rules to ensure consistency and clarity. Maintains strict confidentiality and exercises sound judgment when managing sensitive data.

Physical Demands Standard office environment with occasional heavy lifting (40lb).
