$90,000 - $100,000 depending on experience
Responsibilities
Manage end-to-end, bi-weekly payroll processing including data entry, tax compliance, and distribution of paychecks. Generate Paylocity payroll reports by end of day Monday and process transfers from projects by Wednesday to fund the payroll bank account.
Prepare monthly variance reports and distribute to Accounting or other departments as needed.
Prepare allocation worksheets to allocate shared personnel costs among properties.
Reconcile payroll bank account.
Assist HR and Accounting for audits (e.g., 401k audits or internal control procedures).
Reconcile and allocate workers’ compensation premiums in Excel to properties.
Maintain knowledge of current federal, state, and municipal payroll regulations and alert leadership to policies or practices needing review.
Work with the Payroll Specialist to ensure accurate employee data (new hires, terminations, overtime, deductions, changes) are reflected in the payroll system.
Process final checks in a timely manner to ensure compliance with state and federal guidelines.
File for any state payroll accounts if in a new state.
Conduct regular internal audits to ensure data accuracy and integrity.
Collaborate with HR and finance teams to resolve payroll-related inquiries.
Supervise, develop, and coach the Payroll Specialist.
Implement process improvements to streamline payroll administration and improve payroll accuracy.
Prepare reports and analysis related to payroll costs.
Handle confidential employee information with the utmost discretion.
Qualifications Education / Experience
Bachelor’s degree in Accounting, Finance, Business Administration, or related field required or equivalent combination of education and experience.
Certified Payroll Professional (CPP) preferred or equivalent combination of education and experience.
Minimum five years of experience in payroll management.
Strong proficiency with payroll software; Paylocity experience is a plus.
Strong knowledge of payroll tax laws and regulations including federal, state, and municipal requirements.
Well-versed with the FLSA, including exempt and non-exempt status.
Knowledge of California-specific payroll and tax requirements involving bonuses, final pay, and reimbursements.
Skills
Excellent attention to detail and organizational skills.
Effective communication and problem-solving abilities.
Ability to maintain confidentiality and handle sensitive information.
Advanced Excel skills (pivot tables, VLOOKUPs, reconciliations).
Familiarity with ERP/accounting software (e.g., Yardi Voyager) is a plus.
Ability to meet tight deadlines.
