Overview

Position: Grants Manager. The Grants Manager is responsible for managing all aspects of a large, multi-million dollar grant and contract operation for the Institute of Protein Design (IPD). This role works with Principal Investigators, post-docs, and junior faculty to manage proposal development for grants and contracts, and provides high-level management and compliance oversight of the awarded projects' lifecycle, including progress reports, milestones, deliverables, no-cost extensions, and grant close-out requirements. The position sets and implements departmental policies for grants and contracts and provides expert interpretation of federal, state, industry, and University policies to ensure compliance with applicable laws. Regular monitoring of federal and UW research directives, timely communication to stakeholders, and strategic planning to identify funding sources and advise investigators on opportunities are key responsibilities.

Key Responsibilities

30%: Manage grant development and proposal submission process with faculty PIs, postdocs, and trainees to ensure high-quality grant proposals. Responsibilities include interpreting RFAs, sponsor announcements, and regulatory requirements; developing, scheduling, and overseeing major proposal components and deadlines; assisting PIs with budgets within sponsor guidelines; ensuring administrative and technical proposal components adhere to sponsor regulations.

Communicate with funding agencies on approvals or policy clarifications and system access (e.g., NIH eRA Commons).

Create and route UW electronic applications (SAGE/eGC1) for department, school, and OSP review. Work with OSP on review questions and corrections toward successful submission.

20%: Regular monitoring of federal and UW directives; communicate and interpret policy changes; identify funding sources and advise faculty on opportunities.

Keep abreast of relevant policies (federal, UW, private foundations); disseminate important announcements to faculty and senior management.

Attend UW research administration meetings and workgroups (MRAM, RAPN, NCURA) to stay current.

20%: Set and implement departmental policies for grants and contracts; provide interpretation and implementation of policies to ensure compliance; develop resources and tools to improve proposal and award management; lead process improvement and policy orientation for new PIs and staff.

10%: Post-award management of awarded proposals, including reviewing NoA, explaining terms, ensuring compliance in spending, and managing deliverables and progress reports.

Oversee annual progress reports (e.g., NIH RPPRs) and sponsor submissions; prepare related documentation (Just-In-Time, IACUC/Human Subjects as relevant).

10%: Fiscal and contract management; coordinate with fiscal units, GCA, and OSP to resolve issues; monitor subcontractor performance and payments; conduct quarterly/annual contract reviews for compliance.

10%: Supervise and mentor staff (e.g., Program Operations Specialist) and conduct annual performance reviews.

Minimum Requirements

Bachelor's Degree in Business Administration, Finance, or equivalent + 4 years of related experience.

Additional Requirements

Extensive experience in grant management in an academic research environment; deep knowledge of federal funding agency policies and regulations (NIH/DOD/NSF/DOE), and private foundations/industry; ability to interpret and explain policies and contract terms to investigators.

Experience in proposal budget preparation; strong fiscal skills.

Excellent communication, editing, time management, and organizational skills.

Collaborative skills and ability to work with diverse stakeholders: faculty, postdocs, trainees, students, staff, and peers.

Desired Qualifications

UW grant management and UW systems experience (SAGE, Workday, Grant Tracker, MyResearch Portal) preferred.

Familiarity with federal grant policies and proposal systems (Assist, Grants.gov, eRA Commons); knowledge of UW/OSP regulations and policies (GIMs).

Supervisory or lead experience.

Pay Range Minimum: $82,680.00 annual

Pay Range Maximum: $124,008.00 annual
