Principal Administrative Associate

ONLY CANDIDATES WHO ARE PERMANENT PRINCIPAL ADMINISTRATIVE ASSOCIATE OR WHO ARE ELIGIBLE FOR APPOINTMENT FROM THE OPEN COMPETITIVE PRINCIPAL ADMINISTRATIVE ASSOCIATE LIST WILL BE CONSIDERED FOR THIS POSITION. The New York City Department of Youth and Community Development (DYCD) invests in a network of community-based organizations and programs to alleviate the effects of poverty and to provide opportunities for New Yorkers and communities to flourish. Experience in working within a high volume, high capacity organization and is detail oriented. The candidate will be responsible but not limited to the following: Conduct administrative tasks including scheduling, scanning and maintaining all files Interact with providers and fulfilling requests for additional information on registered and pending contracts Assist in subcontracting procedures and loan applications Managing intake from DYCD program areas and distribution of all contract actions to the appropriate DACCOs and ADACCOs Review and process and route all required documents to oversight agencies Minimum Qualifications: 1. A baccalaureate degree from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or 2. An associate degree or 60 semester credits from an accredited college and four years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in "1" above; or 3. A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in "1" above; 4. Education and/or experience equivalent to "1", "2", or "3" above. However, all candidates must possess the one year of administrative or supervisory experience as described in "1" above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in "1" above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3 years. Preferred Skills: Familiar with and knowledge of New York City's Procurement Policy Board Rules, Citywide Procurement systems such as FMS and Passport. Highly efficient word processing and computing skills. Superior proficiency in MS Excel and Outlook. Experience in effectively interacting with field staff and resolving issues. Effective at providing accurate summaries and analyses. Excellent communication (oral and written) and liaison abilities, ability to coordinate transfer of information from field offices into format suitable for official document submission. Ability to anticipate potential problems, recognize and evaluate problems and take preventive actions, ability to exhibit professional demeanor in a fast-paced environment. Ability to handle sensitive and confidential matters. However, City Employees in certain titles who have worked for the City for 2 continuous years may also be eligible to reside in Nassau, Suffolk, Putnam, Westchester, Rockland, or Orange County.
