The MGH unit described here focuses on adult medical patients and emphasizes high-quality administrative support to clinicians and staff on an inpatient unit.

Unit and Schedule Location: Ellison 12, Adult Medical unit, Boston, MA. The unit has 36 beds and cares for acutely ill medical patients with a diverse mix of diagnoses. This is a permanent administrative position with weekly night availability. The role requires rotating holiday and weekend coverage on a busy clinical unit. Schedule: Nights 11:00 PM – 7:30 AM, rotating holidays and weekends. Must provide four shifts every week.

Responsibilities

Provides clerical and administrative support to the unit and hospital-wide clinicians and staff, acting as a liaison between patients, visitors, and clinicians.

Organizes priorities, completes tasks on time, and manages confidential patient information.

Coordinates day-to-day patient flow in partnership with nursing, including communication regarding admissions, discharges, and transfers.

Delivers excellent customer service for all patient and visitor interactions.

Assists with payroll duties or staff scheduling and supervision of unit secretaries as needed (duties may vary by department).

Enters accurate and timely information into the electronic medical record to support patient throughput.

Contacts ancillary service departments to obtain equipment, services, and supplies; tracks status and location; facilitates repairs as needed.

Qualifications Education High School Diploma or Equivalent required; Associate’s Degree in a Related Field preferred.

Experience Administrative support experience 2-3 years required.

Knowledge, Skills and Abilities

Proficiency with office procedures and equipment (filing, copying, scanning, printing, faxing).

Proficiency in MS Office; ability to proofread and edit written documents.

Ability to use phone systems and manage one’s own time and the time of others.

Strong verbal and written communication skills; strong interpersonal skills.

Familiarity with medical terminology and standard office equipment.
