A reputable law firm in Sausalito is seeking a proactive and detail-oriented
Legal Secretary with litigation experience
to provide high-level administrative support to its attorneys. The ideal candidate will bring strong organizational skills, excellent proofreading ability, and a calm efficiency when managing multiple deadlines in a litigation-driven environment.
Key Responsibilities
Draft, revise, and finalize legal documents, correspondence, memoranda, and emails from both transcription and written instruction.
Compile and organize documents and exhibits for court filings, hearings, arbitrations, mediations, and depositions.
Proofread and edit legal materials to ensure accuracy and compliance with firm formatting standards.
Sort and distribute incoming mail and emails appropriately and in a timely manner.
Manage attorney calendars, including scheduling meetings, court dates, and internal deadlines.
Maintain and organize client and chron files, both physical and electronic.
Utilize office equipment and transcription tools to create and manage legal documents.
Additional Responsibilities
Coordinate travel arrangements for attorneys, including hotel accommodations, flights, and ground transportation.
Assist in the preparation of business development materials such as pitch decks, attorney bios, and PowerPoint presentations.
Provide administrative support for additional tasks and projects as assigned.
Qualifications
High School Diploma or equivalent required.
Prior experience as a legal secretary in a litigation practice is essential.
Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Familiarity with document management systems such as iManage.
Typing speed of at least
70 words per minute .
Excellent organizational and time-management skills.
Clear and professional communication skills, both verbal and written.
Ability to handle confidential information with integrity.
Capable of operating standard office equipment, including transcription tools and multifunction copiers.
