Position Overview

The Executive Assistant (EA) to the CEO provides high-level administrative, operational, and strategic support to ensure the CEO can focus on driving the firm’s growth, business development, and client relationships. This role requires exceptional organizational skills, professional judgment, and the ability to anticipate needs in a dynamic, fast-paced commercial real estate environment. The EA will act as a trusted partner to the CEO and a key liaison between leadership, clients, partners, and internal teams.

Key Responsibilities

Executive Support: Manage and optimize the CEO’s calendar, schedule, and travel to ensure alignment with strategic priorities.

Executive Support: Anticipate needs, prepare agendas, and coordinate briefing materials for internal and external meetings.

Executive Support: Handle confidential information with discretion and professionalism.

Executive Support: Plan and coordinate firm events such as retreats, holiday parties, etc.

Operational & Administrative Support: Track and manage firm-level deadlines, project deliverables, and follow-up items to ensure execution.

Operational & Administrative Support: Support document management for brokerage contracts, development agreements, financial models, and investor materials.

Operational & Administrative Support: Assist with CRM data entry and reporting for brokerage and development activities.

Business Development & Client Relations: Organize investor and client events, property tours, and development site visits.

Business Development & Client Relations: Serve as a professional representative of the CEO in communications with clients, investors, lenders, and development partners.

Strategic Support: Conduct industry research, compile market intelligence, and summarize key findings to support the CEO’s decision-making.

Strategic Support: Help monitor firmwide priorities and strategic initiatives, ensuring progress toward established goals.

Qualifications

2+ years of experience supporting senior executives, ideally within commercial real estate or related industries.

Exceptional organizational skills and attention to detail with the ability to manage competing priorities.

Advanced proficiency in Microsoft Office Suite, Adobe, and CRM/project management platforms.

Excellent verbal and written communication skills; ability to draft polished executive-level correspondence.

High level of discretion, professionalism, and judgment in dealing with confidential matters.

Self-starter with strong problem-solving skills and the ability to thrive in a fast-paced, entrepreneurial environment.
