Executive Assistant

to support our President & CEO, Director of Operations, and Manager of Administration. This role thrives in a fast-paced, client-centric environment and requires the ability to manage multiple priorities with discretion and professionalism. Position Summary

As an Executive Assistant at Pac/West Strategies, this role serves as the right hand to our leadership team. The successful candidate will manage the President & CEOs day-to-day logistics, including calendar management, travel coordination, administrative tasks, and ensuring smooth office operations. The Executive Assistant will support initiatives that advance the firms mission, facilitate internal and client communication, and ensure logistics are efficiently executed for both internal and external stakeholders. Key Responsibilities

Executive & Calendar Management President & CEO Support: Manage and organize calendar, schedule internal and external meetings, conference calls, and strategic events with high-profile clients, policymakers, and industry leaders. Travel Coordination: Arrange complex domestic and occasional international travel, including flights, accommodations, transportation, and itineraries; arrange and coordinate travel for Director of Operations and other staff as needed. Travel Issues: Be available to promptly assist with any travel issues as they arise. Meeting Preparation: Identify availability, coordinate meeting locations, prepare agendas, presentations, and briefing materials; assemble packets; confirm attendance; prepare the meeting space and necessary materials; attend meetings and take detailed notes with follow-up on action items. Administrative & Operational Support Office Administration: Support day-to-day office management, including supplies, subscriptions, vendor relationships, and a productive office environment. Expense & Reporting: Prepare and process expense reports, monitor travel and event expenses, and assist with reimbursements. Documentation & Filing: Maintain organized digital and physical records for internal and external documents to ensure easy access. Client & Internal Communication Liaison Role: Serve as a primary point of contact between the President & CEO, senior leadership, clients, government officials, and external stakeholders. Contact List Management: Manage and update contact lists for the President & CEO and Director of Operations, including new meetings or events. Draft Correspondence: Prepare emails, memos, and other communications on behalf of executives with clarity and professionalism. Event & Meeting Coordination: Help coordinate internal meetings, client briefings, webinars, policy roundtables, and firm-wide events. Qualifications

Experience: 5+ years as an Executive Assistant, Office Manager, or in a similar role, preferably in public affairs, government relations, or consulting. Strong Organizational Skills: Ability to manage multiple priorities and maintain an organized work environment. Attention to Detail: High-quality work under tight deadlines and changing priorities. Communication Proficiency: Excellent written and verbal communication with executives, clients, and stakeholders. Technical Proficiency: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with expense management tools (e.g., QuickBooks, Expensify). Professionalism & Discretion: Confidentiality and professionalism in handling sensitive information. Educational Background: Bachelors degree preferred; relevant experience in public affairs or related fields will be considered. Why Pac/West Strategies?
