Director of Finance – Accountant & Grant Specialist Location: San Clemente | Reports to: Director of Finance | Status: Full-Time, Nonexempt

We are seeking an experienced Accountant & Grant Specialist to join our team, playing a vital role in our finance department. This role combines core accounting responsibilities with grant and contract management, ensuring financial accuracy, compliance, and strategic stewardship of funding sources.

Responsibilities

Accounting & Financial Operations

Manage accounts payable, invoicing, accounts receivable, and processing.

Ensure accuracy of all financial data in accounting systems, including grant tracking.

Prepare contract billing, verify accuracy, compliance with contractual language, and timely submissions.

Track employee expense reports, obtain proper documentation, and approvals.

Process weekly transactions with accurate backup in a timely manner.

Process online donation reports with accurate backup in a timely manner.

Be proactive on A/R to ensure receipt in a quick turnaround.

Maintain accurate and organized digital and paper files.

Assist in audit preparations and various finance-related projects, as needed.

Ensure adherence to necessary accounting policies and internal controls.

Update policies and procedures as instructed and communicate to relevant departments as needed.

Create, update, and communicate changes on cost allocation plan, as directed by Director of Finance.

Serve as point of contact for cross-department communication on finance-related matters and processes.

Keep accurate tracking of fixed assets, additions, removals, and depreciation; update tracking process as directed.

Assist with the monthly financial closing process and ensure all transactions fall into the correct revenue, expense, class, and subclass account.

Support in administrative capacity to prepare payroll and assist with HR duties (onboarding, offboarding, leave, workers’ compensation, benefits, COBRA, retirement administration, and HR-related documentation).

Support annual budgeting and planning processes and monitor monthly progress and variance analysis.

Ensure adherence to relevant tax laws and accounting standards.

Administer annual vendor, employee wage, and retirement-related processes.

Track and verify timesheet allocations in conjunction with grant contracts.

Perform other duties as required.

Grant & Contract Management

Oversee full-cycle processing of client aid requests and track grants from award to closeout.

Maintain grant reporting schedules and submit accurate reports; review award documentation for regulatory compliance.

Reconcile grant expenditures and update monthly projections; inform team of available funding.

Collaborate with departments to ensure proper fund usage.

Lead billing for grants and government contracts (e.g., Cal AIM, CDBG, PSH).

Support grant procurement efforts and identify new funding opportunities.

Maintain funder records and donor management systems; coordinate with external auditors.

Qualifications

Bachelor’s degree in Accounting or related field

3+ years of accounting experience, including nonprofit and grant management

Proficiency in QuickBooks Online; MS Office (especially Excel)

Experience in annual audits including Uniform Guidance Single Audits

Grant expenditure and allocation experience

Strong analytical, organizational, and communication skills

Ability to work independently and collaboratively across departments

Experience with automated systems and process creation/optimization

Familiarity with GAAP, tax laws, and other accounting standards

Additional Requirements

Regular schedule: Monday through Friday, 8:00 AM – 5:00 PM

QuickBooks Online, Asana, and other trainings must be completed within the first 90 days based on experience

Work Location / Modality

On-site: In-person position

Primary location: San Clemente, CA

Typical environment includes office settings with occasional warehouse and pantry/event spaces

Physical ability to lift up to 25 lbs and stand/walk for extended periods during events

Travel

Local travel ~5% within South Orange County for meetings and administrative duties

Valid CA driver’s license; mileage reimbursed at IRS rate

Compensation and Benefits

Position: Non-exempt

Starting wage: $30-34/hr DOE
