UPMC Magee-Womens Hospital is seeking a Full Time Executive Assistant II to support the Vice President, Medical Affairs, Cancer Service Line, and the Magee Administration department! This position will work daylight hours Monday through Friday. Hours are subject to change based on business needs. The Executive Assistant II provides high-level administrative support by coordinating schedules to ensure executives time is appropriately used, convening groups to meet in person, hybrid or via Teams both recurring and ad hoc, coordinating all aspects of community building events related to executives supported, both internal and external, conducting research, handling information requests, and performing clerical functions such as preparing correspondence and receiving visitors. Responsibilities: Responsible for calendar management, requiring interaction with both internal and external stakeholders and assistants to coordinate a variety of complex recurring and ad hoc executive meetings Coordinates all aspects of events sponsored by the executives supported, including lunches, celebrations, commemorative observances, and other events Coordinates all administrative aspects of accreditation site visits for Cancer service line Maintains accurate filing systems with the highest regard for confidentiality, organization, and timely retrieval of documents Answers phones and directs all incoming calls to the appropriate party promptly and efficiently. Manage visitors effectively High school diploma or equivalent 8 years experience in an increasingly responsible administrative support role 5+ years experience with support at the executive level Outstanding calendar management skills, including the coordination of complex executive meetings Demonstrates proficiency in Office 365 applications, including but not limited to Word, Excel, PowerPoint, and Outlook.
