TITLE: Administrative Assistant to Building Principal
REPORTS TO: Principal of Blair Mill Elementary School
TERMS OF EMPLOYMENT: 12 Month, 7.5 hours/day
BENEFITS: Eligible, personal days, sick days, vacation days
LOCATION: Blair Mill Elementary School
PRINCIPAL FUNCTION: Ensure the smooth and efficient operation of the school office by providing high-level secretarial and administrative support to the principal. Perform duties in a professional, courteous, and confidential manner while serving as a key liaison between the school, families, district departments, and the community.
ESSENTIAL DUTIES AND RESPONSBILITIES: Serve as the primary point of contact for students, families, staff, district personnel, and the public, handling inquiries and concerns in a professional and welcoming manner. Assist with calendar management for the principal, including scheduling meetings, school events, and staff observations. Coordinate and communicate effectively with district departments such as Human Resources, Curriculum & Instruction, Special Education, Registration, and District Administration Offices (DAO). Enroll and register new students; assist with Kindergarten registration and transition activities. Maintain accurate student academic and attendance records in PowerSchool and accurate staff attendance in Keystone Client. Coordinate daily substitute coverage for staff, ensuring smooth school operations. Prepare and reconcile school budget entries; process purchase requisitions in Keystone; monitor expenditures and alert the principal to discrepancies or concerns. Draft and edit correspondence, newsletters, reports, and other communications on behalf of the principal and school. Support the coordination of school events, staff professional development days, family engagement activities, and building-level initiatives. Maintain confidentiality of student, staff, and school information at all times. Make independent decisions in assigned areas of responsibility, prioritizing tasks to meet deadlines in a busy office environment. Perform other duties as assigned to support the effective and efficient functioning of the school. REQUIREMENTS:
Bachelor's degree (preferred) with 3-5 years of secretarial and administrative assistant experience, or an equivalent combination of education and experience. Demonstrated ability to manage complex calendars, schedules, and office operations in a fast-paced environment. Strong organizational skills with attention to detail, accuracy, and the ability to multitask effectively. Excellent computer skills; ability to learn and navigate various database systems (e.g., PowerSchool, Keystone Client, Aesop, Outlook Calendar). Exceptional interpersonal, written, and verbal communication skills. Ability to exercise discretion, maintain confidentiality, and demonstrate professionalism in all interactions. Knowledge of school procedures and district operations preferred. Ability to work effectively in a fast-paced office setting with frequent interruptions and a high level of interaction with students, families, staff, and community members. Comfort with regular use of office technology (computer, phone, copier, fax, etc.) and supporting the integration of digital systems and databases. Flexibility to occasionally work early morning or evening hours to support school or district events as needed.
