Overview
Alaska Food Co is looking for a proactive, highly-organized, and tech-savvy Executive Assistant to support our executives in managing the day-to-day flow of communication, appointments, files, and systems. This role involves managing a diverse range of administrative, project-based, and operational tasks to ensure the smooth functioning of both leaders schedules and initiatives. The ideal candidate will be proficient in Google Workspace, with excellent communication skills, a keen eye for detail, and a strong commitment to confidentiality. This is a hybrid position for the right person. We need someone who can take a mess and make it functional with minimal direction. Key Responsibilities
Calendar & Scheduling Management: Maintain and coordinate separate calendars for the Founders and CEO, scheduling meetings, appointments, and events while sending timely reminders. Email Support: Manage and prioritize emails for both the Founders and CEO, draft responses, and handle correspondence efficiently. Project-Based Work: Assist with various projects, conduct research, prepare reports, and follow up to ensure timely completion. File & Photo Organization: Maintain organized digital filing systems for documents and photos, ensuring easy access and retrieval. Template Creation & System Development: Develop templates for emails, reports, and workflows; establish efficient systems to streamline daily operations. Communication & Liaison: Act as a point of contact between the Founders, CEO, and internal/external stakeholders. Administrative Support: Handle miscellaneous tasks such as travel arrangements, expense reports, and managing office supplies if needed. Confidentiality: Handle sensitive information with discretion and maintain strict confidentiality at all times. Qualifications
Proven experience as an Executive Assistant or similar supporting high-level executives Strong organizational and time-management skills Excellent written and verbal communication skills Proficiency in Google Workspace (Gmail, Calendar, Drive, Docs, Sheets, Slides) Ability to quickly learn new systems and develop efficient workflows Discretion and confidentiality in handling sensitive information Creative problem-solving skills and adaptability Beneficial Skills
Experience with digital asset management Project management experience or certification Familiarity with other productivity tools About Us
